What the Legalboards Zapier integration is good for

Legalboards organises work on boards made of cards, and also keeps matters, contacts, tasks and follow-ups. Zapier links apps: an event in one starts work in another. With Legalboards, nine events can start a Zap, and three actions let other apps create cards for you.

Three results come up again and again. A matter register: with New Matter, each new matter adds a line to a spreadsheet, so the list is always complete without anyone keeping it. A team that knows what moved: with Move Card, a card changing column becomes a message in team chat, and nobody has to refresh the board to follow progress. Cards created from elsewhere: with Create Contact Card or Create Card, a request coming from a form or another tool ends up on the right board on its own.

Tasks get the same treatment. New Task, New Clio Task and New Follow Up can each push a line into a to-do tool.

Now what Zapier does not do here. There is no search, so a Zap cannot find an existing card, matter or contact before acting. There is no action to move, update or delete a card: the three actions only create. And nothing that existed before you published the Zap is sent over. Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. Once the Zap is on, Zapier waits for it. Legalboards offers nine, from cards to matters.
Action
What the Zap does once it starts: the step that writes, sends or moves something for you, like creating a card.
Task
The unit Zapier bills: one action your Zap completes successfully. Not to be confused with a task inside Legalboards.
Instant vs polling
An instant trigger is pushed by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap go on only when what arrived meets a condition you set, and stops it otherwise.

A trigger never costs a task: a card moving or a matter being created is free when it reaches Zapier. You pay for the actions that follow, one task each time an action succeeds, and nothing when it fails. A matter logged in a spreadsheet is one task. The free plan gives you 100 tasks a month and Zaps of two steps only. Add a filter, for example to react to one board only, or a second action, and the Zap becomes multi-step and needs a paid plan. The interval grid below does not apply to Legalboards, since all its triggers are instant.

    Open Apps

    In your Zapier account, go to Apps and click + Add connection. A connection is your Legalboards account linked to Zapier once, then reused by every Zap that needs it.

    Search for Legalboards in the dialog, select it and click Add connection. A new tab opens on the Legalboards side, where you sign in with your usual login.

First Zap

Your first Zap: a running register of new matters

    Create a Zap, choose Legalboards as the app that starts it and New Matter as the event, then select your Legalboards connection.

    Add the spreadsheet step

When it breaks

When a Legalboards Zap breaks

Zapier links no help article and no rate limit specific to Legalboards. Most problems come from the required fields of its actions or from the way Zapier works.

  • Old cards and matters never arrive

    A Zap only reacts to what happens after it is switched on. Cards, matters and tasks created before stay in Legalboards, and moving them is a separate job.
  • A card Zap that loops

    A Zap on New Card that also runs Create Card writes where its own trigger watches. It sets itself off again and again and burns through tasks.
  • Create Card stops on empty fields

    Board, Title, Sub-Title and Note are all required. If the earlier step leaves one blank, for example an empty note, the action does not run.
  • Create Matter Card needs five values

    Board, Client, Practice Area, Number/Title and Status must all be filled. A form with optional fields will make this action fail from time to time.
  • A bulk import held back

    When a huge batch of cards or contacts arrives at once, after an import or a migration, Zapier's flood protection can hold it back.
  • The free plan stops at two steps

    Filtering moves by column, or adding a second action, makes the Zap multi-step. On the free plan, Zapier will not publish it as is.

Yes. Legalboards is not a premium app, so its triggers and actions run on Zapier's free plan. That plan covers 100 tasks a month and Zaps of two steps, one trigger and one action. A Zap that logs each new matter in a spreadsheet fits inside it. As soon as you add a filter, for example to keep only one board, or a second action, the Zap becomes multi-step and needs a paid plan. 02How many tasks do Legalboards Zaps use?
One task per action that succeeds, and none for the trigger. A card moving, a matter being created or a contact being added costs nothing when it reaches Zapier. If the Zap then sends one message, that is one task. If it sends a message and adds a row, that is two per event. Creating a card in Legalboards also counts as one task. An action that fails is not counted. Keep in mind that Move Card can fire often on a busy board.
03Do Legalboards triggers work in real time?
Yes. All nine Legalboards triggers are instant: Legalboards tells Zapier the moment a card is created or moved, a matter or contact is added, or a task or follow-up appears, and the Zap starts right away. Whether a trigger is instant is set by the app, not by you.
04What is needed to connect Legalboards to Zapier?
A Legalboards account, and access to the boards the Zap should read from or write to. In Zapier, open Apps, click + Add connection, search for Legalboards and click Add connection. A tab opens where you sign in and grant Zapier access. The connection is saved and reused by every Legalboards Zap. Because every action needs a Board, check that the board exists and that your account can add cards to it before you start building.
05Why does Create Matter Card keep failing?
Usually because one of its five required fields is empty. The action needs a Board, a Client, a Practice Area, a Number/Title and a Status on every run. If the step before it is a form where some of those answers are optional, the action fails whenever one is skipped. Make those questions mandatory upstream, or map a fixed value for fields like Status. A failed action costs no task, but the matter is not created, so watch the Zap history.
06What if the Legalboards operation you need is not there?
Then this integration does not offer it today. On Zapier, Legalboards has nine triggers and three actions, Create Card, Create Contact Card and Create Matter Card, and no search. A Zap cannot find an existing card, move it, update it or delete it. Anything that starts from one of the nine events, or ends with a new card, is covered. For the rest, the answer sits outside this integration, for example in another automation tool, which is worth checking first.
