Overview

What the Moon Invoice Zapier integration does for your billing

Moon Invoice is an invoicing app: estimates, invoices, credit notes, payments and expenses, plus the contacts, products, projects and time logs around them. The Moon Invoice Zapier integration links it to your other tools in both directions. Moon Invoice reports its changes to Zapier straight away, and Zapier can write new records into it or update existing ones.

A payment log that fills itself. Create Payment starts the Zap and a spreadsheet row records the payment, so every payment received is visible without opening Moon Invoice.

Contacts that arrive from your forms. A new form submission, then Add New Contact: the person lands in Moon Invoice with a first name, a last name and a company name, ready for the first estimate.

An alert when an invoice changes. Update Invoice feeds a chat message, handy when several people work on the same invoices.

What Zapier does not do for Moon Invoice: there is no trigger for a deleted record, and no find-or-create search, so a Zap cannot look for a contact and create it in the same step. Most operations also ask for the Company of your Moon Invoice account and a Service Type, which you set in each step. Moon Invoice is not a premium app, so these Zaps run from the free plan, as long as each one stays at one trigger and one action. Before you settle on a tool, see our Make vs Zapier guide.

Vocabulary

Zapier words in one minute

Seven words you will meet in the editor. For a wider opinion of the tool, see our Zapier review.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Moon Invoice has fifteen of them.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like creating an invoice.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling vs instant trigger
A polling trigger is checked by Zapier at a fixed interval. An instant trigger is reported by the app itself; all of Moon Invoice's are.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, so the steps that follow can use what it found.
Cost

What a Moon Invoice Zap really costs

Moon Invoice is not a premium app, so it works from the free plan. Its triggers never cost a task; each Moon Invoice action, or any other action, counts one task when it succeeds.

  • Moon Invoice triggerNever counts as a task
  • Each successful action1 task
  • Free plan100 tasks a month, unlimited two-step Zaps
  • Premium appNo, available on the free plan

An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps of two steps: one trigger, one action. A search, a filter or a second action makes the Zap multi-step, which needs a paid plan, and the update actions that ask for a Uniqueidentifier need a search first to find it. The grid below sets how often Zapier checks polling triggers; it does not apply to the 15 Moon Invoice triggers, which are all instant.

Connect

Connect Moon Invoice to Zapier in 3 steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Moon Invoice account linked once, then reused by every step that uses Moon Invoice.

  2. 02

    Pick Moon Invoice

Search Moon Invoice by name in the dialog, pick it and click Add connection. You need an account on Moon Invoice, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

Sign in to Moon Invoice in the tab that opens, then grant Zapier access to the account. Back in the editor, the connection is available in every Moon Invoice trigger, action and search.

First Zap

Your first Zap: payments posted to team chat

GoalPost a message in your team chat each time a payment is recorded in Moon Invoice, only for the payments that meet your condition.

  1. 01

    Build: pick the trigger

Start a new Zap, choose Moon Invoice as the app and Create Payment as the event, then select the Moon Invoice connection you just added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent payments of the account, so you map the next steps on a real one. Read what came back before going further.

  3. 03

    Add a filter

From the plus icon, add Filter and set its three boxes: the field, the rule and the value. A number rule only works on numbers. The filter makes it a multi-step Zap, so it needs a paid plan.

  4. 04

    Add the chat message

Add your chat app as the action, pick the channel and map the payment details you want in the message. Check at the test which fields the trigger really returns.

  5. 05

    Test, then publish

Test the action once and read the message in your chat app. Then click Publish to switch the Zap on; every payment that passes the filter is announced.

Triggers

The 15 Moon Invoice triggers

15 events start a Zap when something happens in Moon Invoice, and 15 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Create Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

A contact added to Moon Invoice starts the Zap, which lets your other tools know about a new customer the moment it is saved.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to copy each new Moon Invoice customer into your mailing tool or your CRM.
Watch out
check at the test which customer details come through before you map them.
2

Create Credit Notes

Instant trigger

In Zapier“Triggers when new credit notes create.”

Fires on every new credit note, the document that cancels or reduces an invoice, so refunds do not stay hidden in the invoicing app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to warn whoever follows revenue that a customer has been credited.
Watch out
the trigger asks for a Company, so pick the right one if your account holds several.
3

Create Estimate

Instant trigger

In Zapier“Triggers when new estimate create.”

Each estimate drafted in Moon Invoice reaches Zapier as soon as it exists, which gives you a starting point for follow-ups.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to add a reminder in your task manager to chase the estimate later.
Watch out
check at the test which estimate details are sent before mapping them.
4

Create Expense

Instant trigger

In Zapier“Triggers when new expense create.”

Spending recorded in Moon Invoice becomes an event: every new expense starts the Zap with its details. Expenses entered before the Zap is switched on are not picked up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to keep a shared expense sheet in step with Moon Invoice.
Watch out
check at the test which details of an expense come through before mapping them.
5

Create Invoice

Instant trigger

In Zapier“Triggers when new invoice create.”

The broad invoice trigger: every new invoice saved in Moon Invoice starts the Zap, whatever its status.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to log every invoice in a spreadsheet or to tell the account manager one has gone out.
Watch out
if you only want some invoices, New Filtered Invoice narrows the flow without a filter step.
6

Create Payment

Instant trigger

In Zapier“Triggers when new payment create.”

Money in is the event here: a payment recorded against an invoice starts the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to thank the customer, update a cash sheet or alert the team that an invoice is settled.
Watch out
check at the test how the payment and its invoice come through.
7

Create Product

Instant trigger

In Zapier“Triggers when a new product is created.”

Watches your product catalogue in Moon Invoice: adding an item starts the Zap. The test brings back the three most recent items of the connected account, so you map the fields on a real product.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to copy a new product or service into the price list you keep in another tool.
Watch out
edits to an existing product need Update Product instead.
8

Create Project

Instant trigger

In Zapier“Triggers when a new project created.”

Opening a project in Moon Invoice sends it to Zapier, so the rest of your tools can prepare the work around it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to create the matching project in your project management tool.
Watch out
check at the test which project details are sent before you map them.
9

Create Task

Instant trigger

In Zapier“Triggers when a new task created.”

Each task created in Moon Invoice starts the Zap, with its name and details. Once the Zap is on, the trigger itself costs no task; only the actions that succeed after it are counted.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to post new tasks in a team channel so nobody misses one.
Watch out
later changes to the task go through Update Task, not this trigger.
10

Create TimeLog

Instant trigger

In Zapier“Triggers when new timelog create.”

Every time entry logged in Moon Invoice reaches Zapier, which makes hours visible outside the invoicing app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to build a timesheet in a spreadsheet that a manager can read.
Watch out
people who log many short entries start the Zap many times; plan your task count accordingly.
11

New Filtered Invoice

Instant trigger

In Zapier“Triggers when create a new invoice get by filtered.”

A narrower version of the invoice trigger: you give it a company name and a status when you set it up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a Zap should only see invoices with one status, without adding a filter step.
Watch out
Company Name and Status are both required; check at the test that the invoices you expect come through.
12

Update Contact

Instant trigger

In Zapier“Triggers when a contact is updated.”

Edits to an existing customer record start this Zap: a corrected name, a changed company name. In the editor, a Zap built on this trigger shows a lightning bolt, the sign of an instant trigger.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to keep the same customer in step in another tool where you also store it.
Watch out
one contact edited several times starts the Zap each time.
13

Update Invoice

Instant trigger

In Zapier“Triggers when a invoice is updated.”

Changes to an invoice that already exists, whatever they are, reach Zapier through this trigger. Edits made before the Zap is published are not replayed afterwards.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to post a chat message whenever someone edits an invoice.
Watch out
one invoice edited several times starts the Zap each time, and each successful action counts.
14

Update Product

Instant trigger

In Zapier“Triggers when a product is updated.”

When an item in your catalogue changes, this trigger passes the new version on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to carry a product change made in Moon Invoice over to the product list you keep elsewhere.
Watch out
check at the test that the fields you need are in what the trigger returns.
15

Update Task

Instant trigger

In Zapier“Triggers when a task updated.”

Follows existing tasks: any change to one of them starts the Zap. Every change is a new event, and every action that succeeds behind it is billed as a task.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to mirror task changes in the tool your team uses day to day.
Watch out
busy tasks change often; a filter, on a paid plan, keeps only the updates that matter.
Actions

The 16 Moon Invoice actions

Watch out
Company, Company Name, First Name and Last Name are all required; check that the source fills each one.
2

Create New Credit Notes

Action

In Zapier“Create new credit notes to Moon Invoice application.”

Issues a credit note in Moon Invoice for a customer you name in the step.

When to use it
when a refund is approved in another tool and the paperwork should follow.

Records an expense in Moon Invoice from a form entry or a spreadsheet row carried by the trigger.

When to use it
when expenses are collected outside Moon Invoice and should be tracked there.

5

Create New Invoice

Action

In Zapier“Create new invoice to MI application.”

Produces an invoice in Moon Invoice from data coming out of another app, with its own invoice number.

When to use it
when an order or a signed agreement elsewhere should turn into an invoice.
Watch out
an unknown customer company name is created as a new contact, so check spelling at the test.
6

Add New Payment

Action

In Zapier“Add new payment to MI application.”

Records a payment against an existing invoice, with an amount and a date.

When to use it
when payments are collected in another tool and the invoice should show as paid.
Watch out
it needs the invoice's unique identifier; put Search Invoice before it to find one.
7

Add New Product

Action

In Zapier“Add new product to MI application.”

Adds an item to your Moon Invoice catalogue, so it can be picked on the next estimate or invoice.

When to use it
when your price list lives in another tool and new lines should follow.
Watch out
you pick a company and a service type from lists, then give the product name.
8

Add New Task

Action

In Zapier“Add new task to Mi Application.”

Creates a task in Moon Invoice with the name an earlier step provides.

When to use it
when work is planned in another app and should appear as billable tasks in Moon Invoice.
Watch out
besides the Name, the step needs a Company and a Service Type.
9

Create Project

Action

In Zapier“Create a new project to MI Application.”

Opens a project in Moon Invoice, the container for the tasks and hours you will bill.

When to use it
after a deal is won in another tool, so billing can start on the right project.
Watch out
Company, Service Type and Project Name are required.
10

Create TimeLog

Action

In Zapier“Add new TimeLog to MI application.”

Writes a time entry into Moon Invoice, so hours tracked elsewhere end up where they are billed.

When to use it
when your team tracks time in another tool and you invoice from Moon Invoice.
Watch out
Company and Service Type are the required fields; check at the test what else the entry needs.
11

Invoice Status Change

Action

In Zapier“Invoice status change to Mi Application.”

Changes the status of an invoice in Moon Invoice from another app.

When to use it
when an event in another app, a payment or a cancellation, should be reflected in the invoice status.
Watch out
Company and Service Type are required; check at the test how the invoice is chosen.
12

Update Contact

Action

In Zapier“Update contact to MI Application.”

Rewrites an existing Moon Invoice customer with the details an earlier step carried.

When to use it
when the customer record is kept up to date in another tool.
Watch out
the Uniqueidentifier is required, so add Search Contact first to find it.
13

Update Estimate

Action

In Zapier“Update estimate to MI Application.”

Changes an estimate identified by its number, for the customer company you give.

When to use it
when the terms of a quote are revised in another tool.
Watch out
a customer company name not found in Moon Invoice is created as a new contact.
14

Update Invoice

Action

In Zapier“Update invoice to MI Application.”

Modifies an invoice you designate by its number and customer company name.

When to use it
when details of an order change after the invoice exists.

15

Update Product

Action

In Zapier“Update Product to MI Application.”

Changes a product already in your Moon Invoice catalogue, its name included.

When to use it
when product names are managed elsewhere and Moon Invoice should follow.
Watch out
it needs the product's Uniqueidentifier; Search Product finds it by name.
16

Update Project

Action

In Zapier“Update project to MI Application.”

Edits a Moon Invoice project you point to by its identifier.

When to use it
when a project is renamed or reshaped in your project tool.
Watch out
Uniqueidentifier, Company, Service Type and Project Name are all required; Search Project supplies the first one.
Searches

The 4 Moon Invoice searches

4 search steps look for data that already exists in Moon Invoice, so a later step can use it.

A search step changes nothing: it finds a record that already exists and passes it on, which is how update actions get the identifier they require. Adding one makes the Zap multi-step. Three settings decide what happens when the result is not the one you expected.

1

Search Contact

Search

In Zapier“Search contact by email or company name.”

Finds a Moon Invoice customer by email or by company name, and passes it to the next steps.

When to use it
just before Update Contact, to get the identifier that action requires.
Watch out
the Company field is required, so the search runs inside one company of your account.
2

Search Invoice

Search

In Zapier“Search Invoice by number and company.”

Looks an invoice up by its number within a company, then hands the invoice to what follows.

When to use it
before Add New Payment, which needs the invoice's identifier.
Watch out
Company and Number are both required; the number has to come from an earlier step.
3

Search Product

Search

In Zapier“Search product by name.”

Retrieves a catalogue item from its product name.

When to use it
before Update Product, or to reuse a product's details in an invoice built elsewhere.
Watch out
whether the name must match exactly is decided by Moon Invoice; check at the test with a real name.
4

Search Project

Search

In Zapier“Search project by name.”

Spots an existing project by its name and passes it along.

When to use it
before Update Project, which cannot run without the project's identifier.
Watch out
Company and Project Name are required; the multiple-results setting decides what happens if several match.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that relied on it are skipped. Switched on, the Zap carries on with nothing found.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create. None of the Moon Invoice searches has that variant on Zapier, so the box is not offered here.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Moon Invoice Zap breaks

Zapier attaches no help article to Moon Invoice, so the cases below are the general limits that apply to every Zap.

With triggers and actions on the same records, three general limits are worth knowing. If a run stops and the cause is unclear, see our Zapier troubleshooting guide.

  • Old invoices are never picked up

A Zap only reacts to what happens after it is switched on. Invoices, payments or contacts that already exist stay out of it; moving that history is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches can start itself again and again, and burn through your task count. Keep the trigger and the target apart.
  • Bulk imports held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

FAQ

Moon Invoice Zapier integration: your questions

01Is the Moon Invoice Zapier integration free?
Yes for two-step Zaps. Moon Invoice is not a premium app, so its triggers and actions work on the free plan; its searches need a paid plan, since a search makes the Zap multi-step. That plan gives 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. A Zap that logs each new invoice in a spreadsheet fits. Updates that need a Uniqueidentifier are another story: the search that finds it makes the Zap multi-step.
02How many tasks does a Moon Invoice Zap use?
The trigger costs nothing, so a new invoice or payment starting a Zap is never billed. Each action that completes successfully counts one task, and an action that fails is not counted. A Zap that searches an invoice and then adds a payment runs two steps after the trigger; count each completed action on its own. If a Zap logs every time entry, a team logging many entries will use tasks quickly.
03Does Moon Invoice trigger Zaps in real time?
Yes, all 15 triggers are instant. For each one, the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan. The interval grid of polling triggers does not apply to Moon Invoice, even on the free plan. In the editor, a Zap built on an instant trigger shows a lightning bolt, which lets you confirm it at a glance before you publish. Testing still matters: it brings back the three most recent items of the connected account, so you map the fields on real data.
04What do you need to connect Moon Invoice to Zapier?
An account on Moon Invoice, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection: you search Moon Invoice, sign in in the tab that opens and grant access. It is made once and reused by every Moon Invoice step. Have at least one company set up in Moon Invoice, since most steps ask for it.
05Why do Moon Invoice actions keep asking for a Company and a Service Type?
Because Company is a required field on every Moon Invoice action and search, and most actions also require a Service Type. Both are chosen when you set up the step; on Add New Product, the field simply asks you to select a company from the list. Update Contact, Update Product and Update Project add one more required field, a Uniqueidentifier. If you place a search step before them to look up the record, the Zap becomes multi-step and needs a paid plan. Check at the test which value reaches that field before you publish.
06What if the Moon Invoice operation you need is missing?
Open the Moon Invoice page on Zapier, which shows the current list of triggers, actions and searches. Today it holds 15 triggers, 16 actions and 4 searches. If nothing there matches, some needs can still be covered by combining operations: Search Invoice to find an invoice, then Invoice Status Change to move it on, for instance, on a paid plan since the Zap becomes multi-step. Then check at the test that each step receives the value it expects.
07Zapier, Make or n8n for Moon Invoice?
Compare on criteria. Coverage: on Zapier, Moon Invoice offers 15 instant triggers, 16 actions and 4 searches, without find-or-create. Shape: an update that needs a Uniqueidentifier takes a search first, so that flow is multi-step and needs a paid Zapier plan, while a two-step log runs free. Volume: each completed action is a task, which matters if you sync time logs or payments. Availability: check what Make or n8n offer for Moon Invoice before comparing.
