Overview

What the Nautical Zapier integration actually does for a marketplace

Nautical runs an online marketplace with many vendors. Zapier links it to your other tools through a Zap: an automation made of one trigger (the event that starts it) and one or more actions (what it then does for you). With Nautical, the event can be an order, a customer, a product or a variant changing, and the action can write back into the marketplace.

An order feed your team actually reads. Marketplace Order Created, Marketplace Order Updated and Marketplace Order Cancelled each start a Zap the moment Nautical reports the event. Pair one of them with a message in your team chat or a row in a sheet, and the people who need to know see the change without opening the marketplace.

A catalog that keeps your other tools honest. Product Created, Product Updated, Product Deleted and the three Variant triggers push catalog changes outward. Going the other way, Update Product, Update Variant and Update Stock for Variant let another tool correct the marketplace once a search has found the right item.

Customer records that stay in step. Create Customer, Update Customer and Delete Customer write into the marketplace, while Customer Created, Customer Updated and Customer Deleted report what happened there.

What Zapier does not do here: it offers no action that creates a product or a variant, only ones that update them, and no action that deletes a product. There is no find-or-create variant on any search either. And no Zap looks back: orders placed before you switch it on are never picked up. Vocabulary

Zapier words, in plain English

Eight words carry the rest of this page. Each one gets a single line here and is used as is afterwards.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does once it has started: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Polling vs instant trigger
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier when the event happens. Every Nautical trigger is instant.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found, such as an ID.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Nautical Zap really costs

Nautical is not a premium app, so it runs on the free plan. The bill comes from actions, never from the trigger.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on the free plan

The trigger never costs a task, and neither does Zapier waiting for an event. Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses; an action that fails is not counted. The free plan gives 100 tasks a month and Zaps of two steps only. Add a search such as Find Variant, or a filter, and the Zap becomes multi-step, which needs a paid plan. The interval grid below is Zapier's general one for polling triggers: it does not apply to Nautical, whose 12 triggers are all instant.

Connect

Connect Nautical to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Nautical account linked once, then reused by every step that touches Nautical.

  2. 02

    Pick Nautical

Type Nautical in the search box of the dialog, select it, then click Add connection. A new tab opens on the marketplace side, where the sign-in of the next step happens. Nothing is linked yet at this point.

  3. 03

    Sign in and grant access

Sign in to Nautical in that tab and give Zapier access to the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Nautical Zap: a heads-up on selected new orders

GoalEach new marketplace order that matches a condition you choose ends up as a message in your team chat.

  1. 01

    Build the trigger

Create a Zap, pick Nautical as the app and Marketplace Order Created as the event, then choose your Nautical connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent orders of the connected account, so the rest is set up on a real one.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field to look at, the rule and the value. A filter makes the Zap multi-step, so this step needs a paid plan.

  4. 04

    Add the message

Add your team chat as the action, map into the message the order details the trigger test brought back, then test this step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on, only orders created after that moment start it. Want a guided run on your own account? See our Zapier training.

Triggers

The 12 Nautical triggers

12 events start a Zap when something happens in Nautical, and 12 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Customer Created

Instant trigger

In Zapier“Triggers when a Customer is created.”

A new customer account appears in the marketplace and your Zap starts with that customer in hand. It is the entry point for anything that should follow a sign-up, such as a line in a shared list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
copy each new buyer into your email tool.
Watch out
customers created before the Zap was published are never picked up.
2

Customer Deleted

Instant trigger

In Zapier“Triggers when a Customer is deleted.”

Removing a customer from Nautical becomes an event your other tools can act on. That keeps an outside list from holding on to someone the marketplace no longer knows about.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
clean the matching contact out of a mailing list or a spreadsheet when the account goes.
Watch out
what the trigger returns about a deleted customer is something to check at the test step before you map fields.
3

Customer Updated

Instant trigger

In Zapier“Triggers when a Customer is updated.”

Any change saved on a customer record sends the new version to Zapier. Your other tools then hold the same details as the marketplace, instead of an old copy from the day the customer signed up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a contact in another tool in line with the profile the buyer edits on the marketplace.
Watch out
if the Zap also writes customers back into Nautical, read the loop warning further down.
4

Marketplace Order Cancelled

Instant trigger

In Zapier“Triggers when a Marketplace Order (MPO) is cancelled.”

Nautical calls a full marketplace order an MPO. This trigger catches the moment one is cancelled, so the tools that track that order can stop treating it as live.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
flag the order in your fulfilment sheet so nobody packs it.
Watch out
a cancellation done before the Zap went live leaves no trace in Zapier.
5

Marketplace Order Created

Instant trigger

In Zapier“Triggers when a new Marketplace Order (MPO) is created.”

Every new marketplace order starts the Zap. An order is where the work on a sale begins, so this is a natural first trigger to try.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post each order to a team channel, or add it as a row in a shared sheet.
Watch out
add a filter if only some orders matter; it makes the Zap multi-step and paid.
6

Marketplace Order Updated

Instant trigger

In Zapier“Triggers when a Marketplace Order (MPO) is updated.”

Changes to an existing marketplace order reach Zapier as they are saved. Use it when the order itself is already known elsewhere and what you care about is how it moves along.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
refresh the status column of an order tracking sheet each time the order changes.
Watch out
if the Zap also writes orders back into Nautical, read the loop case below before you publish.
7

Product Created

Instant trigger

In Zapier“Triggers when a Product is created.”

A product added to the marketplace catalog opens a new run of the Zap. Since Zapier offers no action to create products, this trigger is how the catalog travels outward, not inward.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
list every new product in a shared sheet.
Watch out
products already in the catalog on the day you publish are not sent; that backlog is a separate job.
8

Product Deleted

Instant trigger

In Zapier“Triggers when a Product is deleted.”

When a product leaves the catalog, the Zap hears about it. That matters most when the product also lives in another place, a price list, a feed or an internal sheet, that would otherwise keep showing it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
mark the matching row as removed so your sheet stops counting it.
Watch out
look at the test sample before mapping, since a deleted item may carry less than a live one.
9

Product Updated

Instant trigger

In Zapier“Triggers when a Product is updated.”

Edits to a product are pushed to Zapier once saved. It suits anyone who copies catalog data into another tool and keeps finding that copy out of date.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a product sheet in sync with what vendors change on the marketplace.
Watch out
if the same Zap writes products back into the marketplace, read the loop case below.
10

Variant Created

Instant trigger

In Zapier“Triggers when a Variant is created.”

A variant is one version of a product. This trigger starts the Zap each time a new one is added, so the other places that list variants can pick it up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
add a line to the stock sheet your team keeps, so the new variant is tracked there too.
Watch out
check at the test what the trigger returns before you map anything from it.
11

Variant Deleted

Instant trigger

In Zapier“Triggers when a Variant is deleted.”

Removing a variant from a product starts the Zap. It closes the gap between a catalog that has dropped a size and an outside sheet that still offers it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
strike the variant from a stock sheet that someone outside the marketplace maintains.
Watch out
check what the test returns for a deleted variant before you map it into another app.
12

Variant Updated

Instant trigger

In Zapier“Triggers when a Variant is created.”

This one sits next to Variant Created in the editor and is meant for changes to an existing variant. Its official description on Zapier reads exactly like the creation trigger, so confirm what it sends on your account before relying on it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
refresh a variant line in your sheet after a vendor edits it.
Watch out
run the test step on a variant you have just edited and read what comes back.
Actions

The 12 Nautical actions

Nautical gives you 12 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Note to Marketplace Order

Action

In Zapier“Adds a Note to a Marketplace Order (MPO)”

Writes a note onto an existing marketplace order. Both the Nautical Order Id and the Message are required.

When to use it
leave a trace on the order when something about it happens in another tool, so whoever opens the order in Nautical sees it there.
2

Cancel Marketplace Order

Action

In Zapier“Cancels a Marketplace Order (MPO)”

Cancels an existing marketplace order, using its required Nautical Order Id. The ID has to reach the step from an earlier one, such as one of the two order searches.

When to use it
a decision taken in another tool should end the order in Nautical.
3

Create Customer

Action

In Zapier“Create a Customer in the marketplace”

Opens a customer account in the marketplace from data that arrives elsewhere.

When to use it
a buyer signs up through a form outside Nautical and should exist in the marketplace too.
Watch out
run the test on one real person and read what came back before you publish.
4

Create Stock for Variant

Action

In Zapier“Creates Stock for a Variant”

Sets up a stock entry on a variant that has none yet. It needs the Variant Id, and offers an Include Allocated option.

When to use it
a variant has no stock line yet and an earlier step, or your own input, gives you its Variant Id.
5

Delete Customer

Action

In Zapier“Delete a Customer in the marketplace”

Removes a customer from the marketplace by its required Customer id.

When to use it
a removal handled in another tool should reach Nautical as well.
Watch out
keep a filter or a search before it, so only the intended customer is removed.
6

Delete Stock for Variant

Action

In Zapier“Delete Stock for a Variant”

Removes the stock entry of a variant, given its required Variant Id.

When to use it
a variant stops being sold from a given stock and the line should go.
Watch out
this is the only stock action that removes data, so keep a filter or a search before it.
7

Update Customer

Action

In Zapier“Update a Customer in the marketplace”

Edits an existing customer. It requires both the Customer Id and the Email.

When to use it
a buyer's details change in another tool and the marketplace should follow.
Watch out
the Customer Id has to come from an earlier step, such as Find Customers; check at the test what it returns.
8

Update Marketplace Order

Action

In Zapier“Updates a Marketplace Order (MPO)”

Changes an order that already exists.

When to use it
another tool holds information the order should carry.
Watch out
the Zap has to know which order to change, so put a search such as Find Marketplace Order by Order Number before it and check the mapping at the test.
9

Update Product

Action

In Zapier“Update a Product in the marketplace”

Changes a product already in the catalog, found by its Product id, which is required.

When to use it
product details are maintained in a sheet and pushed into the marketplace from there.
Watch out
without a create-product action, this only works on products that exist.
10

Update Shipping for Marketplace Order

Action

In Zapier“Update the Shipping for a Marketplace Order (MPO)”

Edits the shipping part of a marketplace order. The Order Id is required and an Enable Manual option sits next to it.

When to use it
another tool holds shipping details the order should reflect.
Watch out
test on one real order first and read what came back.
11

Update Stock for Variant

Action

In Zapier“Updates Stock for a Variant”

Changes the stock held on a variant, found by its required Variant Id, with the same Include Allocated option as the create action. Like every update, it needs the ID from a trigger or a search placed before it.

When to use it
a warehouse sheet is the reference and the marketplace should match it.
12

Update Variant

Action

In Zapier“Update a Variant in the marketplace”

Edits one variant of a product, identified by its required Variant Id.

When to use it
correct a variant from an outside list after Find Variant has located it.
Watch out
a search plus this action makes the Zap multi-step, which needs a paid plan.
Searches

The 9 Nautical searches

9 search steps look for data that already exists in Nautical, so a later step can use it.

A search step finds something that already exists in the marketplace and hands it to the next steps. With Nautical it is mostly how a Zap gets the ID that an update or a cancel action requires. In the action list, searches sit at the bottom under SEARCH. Any search makes the Zap multi-step, so it needs a paid plan.

1

Find Customers

Search

In Zapier“Find Customers in the marketplace”

Looks up customers in the marketplace.

When to use it
you have a buyer from another tool and need the Customer Id that Update Customer or Delete Customer asks for.
Watch out
decide what happens when several customers match, with the multiple results setting below.
2

Find Marketplace Order by ID

Search

In Zapier“Finds a Marketplace Order (MPO) by ID”

Fetches one order from its Nautical Order Id, which is required, so the steps after it can use the order's details.

When to use it
the ID is already in hand, from a note or another app, and you want the order's current details for the next step.
3

Find Marketplace Order by Order Number

Search

In Zapier“Finds a Marketplace Order (MPO) by Order Number”

Finds an order from the number a buyer or a vendor quotes, the Nautical Order Number, which is required.

When to use it
a message in another tool quotes an order number and the Zap needs the ID behind it to add a note.
4

Find Product

Search

In Zapier“Finds a Product in the marketplace”

Locates a single product in the catalog.

When to use it
place it just before Update Product so the Product id comes from what it found.
Watch out
whether it wants an exact value or a close one is decided by the app; check at the test.
5

Find Products

Search

In Zapier“Find Products in the marketplace”

Sits next to Find Product in the list, under its own name.

When to use it
test it next to Find Product and keep the one whose result suits the step that follows.
Watch out
choose deliberately between keeping the first match, stopping, or passing them all.
6

Find Stock

Search

In Zapier“Finds a Stock entry in the marketplace”

Finds one stock entry. It requires both a Stock Id and a Country Code.

When to use it
read the stock line of a known entry before a Zap decides whether to update it.
Watch out
both required values must come from earlier steps.
7

Find Stocks

Search

In Zapier“Finds Stocks in the marketplace”

Finds several stock entries at once.

When to use it
a report or a check needs more than one line of stock from the marketplace.
Watch out
if nothing comes back, the default setting stops the Zap at this step.
8

Find Variant

Search

In Zapier“Finds a Variant in the marketplace”

Locates one variant.

When to use it
a warehouse sheet changes and the Zap needs the Variant Id before Update Stock for Variant can run.
Watch out
test it with a value you know exists to see what it matches on.
9

Find Variants

Search

In Zapier“Find Variants in the marketplace”

The companion of Find Variant, listed as a separate search.

When to use it
compare it with Find Variant at the test step and keep the one whose result fits the next step.
Watch out
the multiple results setting decides whether they go on together or only the first.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. No Nautical search offers this variant, so this box will not appear here.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a Nautical Zap breaks

Zapier attaches no help article to Nautical and no app-specific limit is published. What can go wrong comes from how Zapier works in general.

The four cases below are the ones that apply to a Nautical Zap. If a Zap still misbehaves after you have checked them, see our Zapier troubleshooting guide.

  • No look back

A Zap only reacts to what happens after you switch it on. Orders, customers or products that already existed are never picked up; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes into the place its own trigger watches can start itself again and again, and burn through your task count. Keep the trigger and the write apart.
  • A sudden flood

After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.
  • A search that finds nothing

With its default setting, a search that comes back empty stops the Zap there, and the update that needed its ID never runs.

FAQ

Nautical and Zapier: the questions people ask

01Is the Nautical Zapier integration free?
Yes, as far as the plan goes. Nautical is not a premium app, so it works on the free plan, which gives 100 tasks a month and an unlimited number of Zaps of two steps each: one trigger, one action. That covers a Zap such as Product Created followed by a row in a sheet. The moment you add one of the nine searches, a filter or a second action, the Zap becomes multi-step and needs a paid plan. So the free plan suits simple one-way feeds, not Zaps that look something up before updating it.
02How many tasks does a Nautical Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that reacts to Marketplace Order Created and posts one message uses one task per order. A Zap that adds a note to the order and then posts a message uses two. Zapier waiting for Nautical to report an event costs nothing at all. An action that fails is not counted against the plan. Note that Zapier says a few apps and a few actions take more than one task when they complete, so check what your first runs use.
03Do Nautical Zaps start right away?
Yes. All 12 Nautical triggers are instant: Nautical tells Zapier the moment the event happens, so the Zap starts right away, whatever your plan. That is why the plan's polling interval, 15 minutes on the free plan, has no effect on these triggers. In the editor, a Zap built on an instant trigger shows a lightning bolt. What follows the trigger then runs step by step, so a Zap with a search and an update still takes the time those steps need.
04What does it take to connect Nautical to Zapier?
An account on Nautical, plus read or write access on anything you do not own yourself and want the Zap to touch. Then the steps are short: open Apps in Zapier, click + Add connection, pick Nautical, sign in to it in the tab that opens and grant access. The connection is made once and reused by every step that uses Nautical. Before building, note which IDs your actions will require, since most of them ask for one.
05Can Zapier create a product in Nautical?
No. The Nautical actions on Zapier update products and variants but none creates them: you get Update Product and Update Variant, while Create Customer and Create Stock for Variant are the only create actions. There is no delete action for products either. In practice, products are created in Nautical itself, then Product Created or Variant Created can carry them out to your other tools, and Create Stock for Variant can give a new variant its first stock line.
06What if the Nautical operation you need is not listed?
Start from the Nautical page on Zapier, which shows the current list of triggers, actions and searches. If the exact operation is missing, look at whether two existing steps cover it, for example a search that finds the ID followed by an update. If neither works, the gap is real for now on Zapier, and it is worth comparing how the same need would be handled in another automation tool before you build around it.
07Zapier, Make or n8n for Nautical?
Decide on criteria rather than a ranking. On Zapier, check first that the operations you need are among the 33 listed. Then count: every successful action is a task, and any search or filter means a paid plan, which matters here because an update that needs an ID often gets it from a search. The polling interval does not apply, since all Nautical triggers are instant. Compare the same points, operations available and cost per run, on the other tools before you choose.
