Turn joiners and leavers into automatic follow-ups
People HR is HR administration software built for small and mid-sized companies. Linked to Zapier, it sends two moments of an employee's life to your other tools: the day someone is created as a new starter, and the day someone is recorded as leaving. Each can open a Zap that does the follow-up work for you.
An onboarding that starts itself. New Starter fires when HR creates an employee with the New Starter option. The Zap can announce the arrival to the team, open an IT request or add a row to an onboarding tracker.
An offboarding nobody forgets. New Leaver fires when an employee goes through the Leaver Wizard. That is the signal to warn IT to close accounts, tell the manager, or log the exit in a sheet.
One HR action, several teams informed. Because the Zap runs from the HR record, payroll, IT and office managers hear about it in the tool they already watch, with no forwarding.
Now the limit. On Zapier, People HR only sends news out: there is no action and no search. Zapier cannot create an employee, change a record or read a profile in People HR. Every Zap starts in People HR and does its work elsewhere.

Zapier vocabulary for HR teams
Seven terms come back throughout this page. Each one, once, in plain words.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. People HR offers two.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something, here always in another app.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan counts those and nothing else.
- Instant vs polling
- An instant trigger is reported by the app itself the moment the event happens. A polling one is checked by Zapier on a timer.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
What a People HR Zap costs
Listening to People HR is free: a trigger never costs a task, so every starter and leaver can arrive without touching your count.
- People HR trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo, works on the free plan
You pay for what happens next. Each action that succeeds counts once, so an offboarding Zap with three actions uses three tasks per leaver. An action that fails is not counted. The free plan gives 100 tasks a month and builds two-step Zaps only; a filter or a second action calls for a paid plan. The interval grid below is for polling triggers, and both People HR triggers are instant, so it does not delay them.
Connect People HR to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your People HR account linked once, then reused by every step that listens to People HR.
- 02
Choose People HR
Type People HR in the dialog's search box, select it, then click Add connection. You need your own People HR account for the rest to work; the connection does not create one.
- 03
Sign in and grant access
Sign in to People HR in the tab that opens and give Zapier access to the account. If the Zap must see employees you do not manage yourself, check that your login can read them.
Your first Zap: warn IT about every leaver
GoalWhen an employee is recorded as leaving in People HR, the IT team gets a message in its channel, but only for the cases you choose.
- 01
Pick the app and the event
Create a Zap, choose People HR as the starting app and New Leaver as the event. Select the connection you set up earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent leavers of the account, so you build the rest of the Zap on a real record rather than on guesses.
- 03
Add the filter
Add a Filter step from the plus icon. Set the field to look at, the rule and the value. Use a text rule for text, or the filter will never pass. This step needs a paid plan.
- 04
Add the message
Add your chat app and its channel message action, then drop values from the People HR step into the message. Each message sent counts as one task.
- 05
Test and publish
Test each step once and read what came back. When it looks right, publish the Zap to switch it on. To get comfortable with the editor, there is the Zapier training.
The 2 People HR triggers
2 events start a Zap when something happens in People HR, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.
New Leaver
Instant triggerIn Zapier“Triggers when an employee is marked as leaving the company using the Leaver Wizard on the employee overview screen.”
Starts your Zap when HR marks an employee as leaving the company through the Leaver Wizard, from the employee overview screen. It is the cleanest signal you have that an exit is official.
New Starter
Instant triggerIn Zapier“Triggers when a new employee is created within People using the New Starter option on the employee list”
Fires when someone creates a new employee in People HR with the New Starter option on the employee list. Every hire entered that way can open an onboarding routine in your other tools.
When a People HR Zap breaks
Zapier attaches no help article to People HR, so these are the general traps that apply to its Zaps.
None of them is rare. They explain why a Zap passes its test and still misses someone later. For a step-by-step method when that happens, the Zapier troubleshooting page covers it.
Past hires and exits never arrive
A Zap only reacts to what happens after you switch it on. Starters and leavers recorded before that stay out; moving them is a separate job.A bulk change gets held back
When a trigger suddenly returns a huge batch, after an import or a migration for instance, Zapier's flood protection can hold the run back.Nothing goes back into People HR
People HR has no action on Zapier. A Zap cannot update an employee record or close a leaver's file there; that stays manual in People HR.The filter never lets anyone through
Filter rules are typed: a text rule only works on text, a number rule only on numbers. The wrong choice stops every run with no obvious error.
