Overview

What the PeopleSmart Zapier integration is for

It connects your PeopleSmart account to Zapier so that each contact report you create starts an automation somewhere else. PeopleSmart only speaks here: one trigger, New Report, and no way for a Zap to write, update or look anything up inside PeopleSmart.

Three results people build on that single trigger. Prospects that land in the CRM: each new report becomes a contact record in your sales tool, without copy and paste. A shared research log: every report adds a row to the sheet the team uses to track who was looked up and why. A heads-up for the recruiter: a new report on a candidate posts a message to the hiring channel.

What Zapier does not do for PeopleSmart is just as clear. There is no action, so no Zap can start a search, create a report or change anything in your account. There is no search step either, so a Zap that starts in another tool cannot pull a report out of PeopleSmart. Everything flows one way, out of PeopleSmart.

Timing matters too. New Report is a polling trigger, so a fresh report waits for Zapier's next check. On the free plan that means up to 15 minutes.

Vocabulary

Zapier vocabulary in one minute

Seven words you will see in the editor, one line each.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. Here it is New Report, a fresh contact report in PeopleSmart; once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts, in another app for this integration: the step that writes, sends or moves something for you.
Task
The unit Zapier bills: one action that completes successfully. The allowance on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen yet.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your PeopleSmart account linked to Zapier once, then reused by every Zap that starts on a PeopleSmart report.
Cost

What a PeopleSmart Zap really costs

The trigger costs nothing, however often Zapier checks PeopleSmart for new reports. You pay in tasks, and a task is one action that works.

  • New Report checks0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on Free

PeopleSmart is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, a check every 15 minutes and two steps per Zap. New Report followed by one action fits. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Paid plans also check more often, as the grid shows. Each action counts on its own, so a three-action Zap uses three tasks per report.

Connect

Connect PeopleSmart to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a PeopleSmart account before you start, with access to the reports the Zap should read.

  2. 02

    Find PeopleSmart

Type PeopleSmart in the search box of the dialog, select it, then click Add connection. A new tab opens on the PeopleSmart side for the sign-in that follows.

  3. 03

    Sign in and grant access

Log in to PeopleSmart in that tab and allow Zapier to reach the account. The connection is saved once and every Zap that starts on New Report reuses it.

First Zap

Your first Zap: new PeopleSmart reports into your CRM

GoalEach time a contact report appears in PeopleSmart, add that contact to your CRM, but only when it meets your condition.

  1. 01

    Pick the trigger

Build: choose PeopleSmart as the app that starts the Zap and New Report as the event, then select the PeopleSmart connection you just made.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent reports of the account, so you set up the next steps on a real one rather than a blank.

  3. 03

    Add a filter

From the plus icon, add a Filter and set the field, the rule and the value. Text rules work on text only: pick the wrong type and nothing ever passes.

  4. 04

    Add the CRM action

Pick your CRM and the action that adds a contact, connect it, then map the details from the PeopleSmart report into its fields.

  5. 05

    Test and publish

Test each step, read what came back, then click Publish. The filter makes this multi-step and paid; drop it and the Zap stays on Free.

Triggers

The PeopleSmart trigger

1 event starts a Zap when something happens in PeopleSmart. Zapier checks for them at the interval your plan allows.

1

New Report

Polling trigger

In Zapier“Triggers when a new contact report is created.”

Each contact report you create in PeopleSmart becomes a starting point: the Zap picks it up and hands it to whatever step follows, a CRM, a sheet or a message.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a sales rep researches a prospect in PeopleSmart and wants the result in the CRM without retyping it.
Watch out
Zapier remembers the reports it has already seen, so a report it has already picked up never starts the Zap a second time.
When it breaks

When a PeopleSmart Zap breaks

Zapier links no help article to PeopleSmart, and no rate limit of its own is documented. The limits below are the ones every Zap shares.

  • Old reports are never replayed

The Zap reacts only to reports created after it is published. Anything you researched before stays in PeopleSmart, and moving that backlog is a separate job.
  • The report shows up late

New Report is checked on a timer. On Free a fresh report can wait up to 15 minutes for the next check; that is the plan, not a fault.
  • No second run for the same report

Zapier keeps track of what it has already seen on a polling trigger, so the same report never starts the Zap twice.
  • A large batch gets held back

If many reports appear at once, the next check returns a huge batch, and Zapier's flood protection can hold it back instead of running every item.

FAQ

PeopleSmart and Zapier: common questions

01Is the PeopleSmart Zapier integration free?
Yes, on Zapier's side. PeopleSmart is not a premium app, so it works on the free plan, which gives 100 tasks a month, unlimited Zaps and a check every 15 minutes. The free plan only builds two-step Zaps: New Report plus one action in another tool fits. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Your PeopleSmart account is billed separately, and nothing here covers what PeopleSmart itself charges.
02How many tasks does a PeopleSmart Zap use?
One task for each action that succeeds, and nothing for the trigger. Zapier can check PeopleSmart for new reports as often as your plan allows without spending a single task. A Zap that sends each new report to your CRM uses one task per report. If the Zap has three actions, each report costs three. An action that fails is not counted. Since the actions all live in other tools, the number of reports you create is the number to watch.
03Is PeopleSmart on Zapier real time?
No. New Report is a polling trigger: Zapier asks PeopleSmart for new reports at a fixed interval, and that interval depends on your plan. It is 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On the paid plans you can change how often it checks, and run a check by hand from the editor. The type of trigger is set by the app and cannot be switched to instant from Zapier.
04What do you need to connect PeopleSmart to Zapier?
A PeopleSmart account, and access to the reports you want the Zap to read if they are not yours. The connection takes three moves: open the Apps page of your Zapier account and click + Add connection, search for PeopleSmart and click Add connection, then sign in to PeopleSmart in the tab that opens and grant Zapier access. Once saved, the connection is reused by every Zap you build on New Report.
05Why don't older PeopleSmart reports reach the CRM?
Because a Zap only reacts to what happens after it is switched on. Reports that existed before you published the Zap are never picked up, whatever the plan. The test step does bring back the three most recent reports, but only so that you can set up the following steps on a real one; it does not send them anywhere. If you need your history in the CRM, treat it as a one-off import outside the Zap.
06What if the PeopleSmart operation you need isn't there?
Then Zapier cannot do it for PeopleSmart today. The app offers one trigger and nothing else: no action to create or update a report, and no search to look one up from another tool. Any workflow that needs to push data into PeopleSmart, or read an existing report on demand, has no step for it on Zapier. Check the app page on Zapier before planning around a missing step, and keep that part of the job manual.
07Zapier, Make or n8n for PeopleSmart?
Choose by criteria rather than by name. On Zapier, PeopleSmart gives you one polling trigger, no action and no search, and it runs on the free plan with a check every 15 minutes and two-step Zaps. So ask each tool the same three questions: does it offer the PeopleSmart event you need, can it write anything back into PeopleSmart, and how long does a new report wait before your workflow starts. The right pick depends on those answers for your case.
