Overview

What the Picky Assist 3.0 Zapier integration is for

Picky Assist 3.0 links WhatsApp with your other software: messages that reach your number can travel elsewhere, and other tools can send WhatsApp messages through it. Zapier is the service that chains apps together. With the integration, a message in Picky Assist starts work in your other apps, and those apps can talk back through WhatsApp.

Three results worth building. Every inbound message logged: New Message fires on each new WhatsApp or SMS, and the next step files it in your CRM or a shared sheet. Confirmations sent from your other tools: a booking, an invoice or a shipping update in another app runs Send Message, and the customer gets a WhatsApp message on their number. Data handed to a connector: Send Data to Connector pushes what another app collected into a connector you built in Picky Assist, which then runs its own automation.

What Zapier does not do here. There are no searches, so a Zap cannot look up an earlier conversation or a contact in Picky Assist. There is one trigger only, on new messages: nothing else in your account can start a Zap. And no Zap picks up messages received before it was switched on; moving that history is a separate job.

For an overall opinion of the platform, see Zapier review. To compare it with another tool, see Make vs Zapier.

Vocabulary

Zapier vocabulary in a minute

Seven Zapier words appear across this page. Here they are in plain terms before you open the editor.

Zap
The automation you build: a starting event, then one or more steps that run again each time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new incoming message.
Action
What the Zap does once started: the step that sends, creates or passes on something in an app for you.
Task
What Zapier bills you for: one action that went through. The allowance of your plan is a count of these.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself when the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes one, and it needs a paid plan.
Cost

What a Picky Assist 3.0 Zap costs

Picky Assist 3.0 is not a premium app on Zapier, so it runs on the free plan. The Zapier bill follows the actions that succeed, not the messages that come in.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap shapeTwo steps: one trigger, one action
  • New Message triggerNever costs a task
  • Failed actionNot counted

The New Message trigger never costs a task, and a failed action is not counted. Each action that works is counted on its own: log the message in a CRM and send a reply, that is two tasks per message. The free plan builds two-step Zaps only, one trigger and one action. Add a filter, to react only to some messages, or a second action, and the Zap becomes multi-step, which needs a paid plan. The interval grid below concerns polling triggers; New Message is instant, so it does not apply.

Connect

Connect Picky Assist 3.0 in 3 steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. A connection is your Picky Assist account linked once, then reused by every Picky Assist step.

  2. 02

    Pick Picky Assist 3.0

Search for Picky Assist 3.0 in the dialog, select it, then click Add connection. You need a Picky Assist account, plus access to anything you do not own and want the Zap to use.

  3. 03

    Sign in and grant access

A new tab opens on Picky Assist. Sign in with the account that holds your WhatsApp number, then allow Zapier in. The connection now appears in each Picky Assist step.

First Zap

Your first Zap: WhatsApp leads land in your CRM

GoalWhen a WhatsApp message arrives, keep only those that look like sales enquiries and create a contact in your CRM.

  1. 01

    Set the trigger

Create a Zap, pick Picky Assist 3.0 and New Message as the event. Choose your connection, then type a Zap Name: it is required, and it is how Picky Assist shows this Zap.

  2. 02

    Test with a real message

Run the test. Zapier brings back the three most recent items of the account, so map the next steps on a message that really reached your number.

  3. 03

    Add a filter

From the plus icon, add a Filter: the field to look at, the rule and the value that mark a sales enquiry. The filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Create the contact

Add your CRM with its create-contact action and map the sender and the message text from the trigger. One successful contact equals one task.

  5. 05

    Test, then publish

Test each step once and read what came back before going further. When the contact looks right, click Publish to switch the Zap on.

Triggers

The Picky Assist 3.0 trigger

1 event starts a Zap when something happens in Picky Assist 3.0, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Message

Instant trigger

In Zapier“Triggers when there's a new WhatsApp/ SMS.”

Starts the Zap each time a new WhatsApp message or SMS reaches your Picky Assist account. It is the only way into a Zap from this app, so anything that should react to a customer writing to you goes through it: logging the conversation, alerting a colleague, opening a ticket in your helpdesk.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
customers write to your WhatsApp number and someone outside Picky Assist has to see it.
Watch out
a Zap Name is required; give each Zap a distinct one so you can tell them apart in Picky Assist.
Actions

The 2 Picky Assist 3.0 actions

Picky Assist 3.0 gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Send Message

Action

In Zapier“Send A New WhatsApp Message.”

Sends a new WhatsApp message from your Picky Assist account to one number, or to several at once.

When to use it
an appointment is booked in your calendar tool and the client should get a WhatsApp confirmation.
Watch out
Application and Mobile Number are required. Write the number with its country code, without + or a leading 0, and separate several numbers with commas.
2

Send Data to Connector

Action

In Zapier“Trigger a PickyAssist Connector”

Hands the data of another app to a connector you set up in Picky Assist, which then runs whatever that connector is built to do.

When to use it
your form tool collects a request and an existing Picky Assist automation should take it from there.
Watch out
the PickyAssist Connector URL is required; create the connector under Automations, then Connectors, before building the step.
When it breaks

When a Picky Assist 3.0 Zap breaks

Zapier links no help article and no limit specific to Picky Assist 3.0. What goes wrong comes from Zapier's own rules, and these four cases cover most of it.

The first three come from how Zapier works; the last one comes from the number format Send Message expects. When a run fails outright, Zapier troubleshooting covers the usual fixes.

  • Old conversations never arrive

A Zap only reacts to messages received after it is switched on. Earlier conversations stay out; bringing them over is a separate job.
  • The Zap answers itself

A Zap that writes into the place its own trigger watches starts again on its own output. Check that sent messages never come back as new ones.
  • A message burst is held back

When a trigger suddenly sends a very large batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back.
  • The message never leaves

Send Message needs the number with its country code, no + and no leading 0. A number written any other way does not match what the field expects.

FAQ

Picky Assist 3.0 Zapier integration: questions

01Is the Picky Assist 3.0 Zapier integration free?
On Zapier's side, yes, within the free plan. Picky Assist 3.0 is not a premium app, so a free account can use it, with 100 tasks per month and unlimited Zaps. The limit is the shape of the Zap: two steps, one trigger and one action. Logging each new message in a sheet fits. Once you add a filter to keep only some messages, or a second action such as a reply, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Picky Assist 3.0 Zap use?
One per action that succeeds, each time the Zap runs. The New Message trigger costs nothing, however many messages reach your number, and a failed action is not counted. A Zap that only logs each message spends one task per message; one that logs it and sends a WhatsApp reply spends two. So the count follows your inbound volume times the number of actions in the Zap. Busy numbers burn through a free allowance faster than quiet ones.
03Is the Picky Assist 3.0 trigger real time?
Yes. New Message is an instant trigger: Picky Assist tells Zapier itself when a WhatsApp message or SMS arrives, and the Zap starts right away. The plan interval grid, from 15 minutes on Free to 1 minute on Team and Enterprise, only concerns polling triggers that Zapier checks on a timer. It does not apply here, so a free account reacts as fast as a paid one. In the editor, such Zaps carry a lightning bolt.
04What does it take to connect Picky Assist 3.0 to Zapier?
A Picky Assist account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for Picky Assist 3.0, sign in in the tab that opens and grant access. Then each step asks for its own required fields: a Zap Name on the trigger, an Application and a mobile number to send a message, and a connector URL for Send Data to Connector, which only exists once you create the connector in Picky Assist.
05Why does Send Message fail on some numbers?
Most often because of the format. The Mobile Number field expects the country code followed by the number, with no plus sign and no leading zero. A number copied from a form as it was typed, with a plus or a space, does not match that format. Several numbers are allowed, but separated by commas. If your source app stores numbers in another shape, clean them before this step so they match the expected format.
06What if the Picky Assist 3.0 operation you need is missing?
Then the integration does not offer it, and the editor cannot add it. Two ways around it exist inside the integration itself. Send Data to Connector can hand any data to a connector you build in Picky Assist, which may do the step Zapier lacks. And New Message plus a filter can cover a narrower event than the trigger offers. For anything else, such as looking up a past conversation, another tool or a request to Picky Assist is the realistic route.
07Zapier, Make or n8n for Picky Assist 3.0?
It depends on your criteria, not on a ranking. Ask each tool three questions. Does it offer the event you want to start from? On Zapier, new incoming messages, reported instantly. Does it cover what you want to do? Here, sending a message and feeding a connector. Does its plan suit the shape of your flow? On Zapier, a filter or a second action needs a paid plan. Put each option through those same three questions.
