Connecting Tapfiliate to Zapier automates the busywork of an affiliate program. Tapfiliate reports what happens to affiliates, prospects, conversions, customers and payouts; Zapier runs the next steps, in Tapfiliate or elsewhere: grouping an affiliate, logging a conversion, approving or rejecting a commission.

Three outcomes show up again and again. Partners sorted the moment they earn it: when a customer referral turns into a real affiliate, Affiliate Prospect Promoted starts the Zap and Set Affiliate Group moves them into the right group. Sales that flow in without copy-paste: every paid order from your checkout becomes a conversion through Create Conversion. The limits matter as much. No action creates an affiliate directly: that goes through the find-or-create variant of Find Affiliate. None of the eight triggers costs anything: a conversion or a signup coming in uses no task. What counts is each action that succeeds, one by one. A Zap that creates a customer and then a conversion spends two tasks per sale. Failed actions are not counted. The free plan gives you 100 tasks a month but stops at two steps: one trigger, one action. Many Tapfiliate actions, though, need an ID that only a search can supply. Add that search, or a filter, and the Zap becomes multi-step, which takes a paid plan. With no polling trigger, the grid below never applies to Tapfiliate.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. Every account your Zaps rely on, Tapfiliate included, is managed from that page.

    Pick Tapfiliate

    In the dialog, type "Tapfiliate", select the app from the results and confirm with Add connection. A new browser tab opens so you can finish signing in.

    Grant access

    Set the trigger

    In the editor, during Build, choose Tapfiliate and Affiliate Prospect Promoted, then pick your connection. This event fires once a prospect brings in a conversion or customer.

    Test the trigger

    Run the test: Zapier pulls in the three most recent promotions on the account. Pick a real one, since you will map fields from it in the steps that follow.

    Add a filter

    If you run several programs, click the plus icon, pick Filter and, in Configure & test, keep only the partner program. The Zap is now multi-step.

Find Customer

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap keeps going empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this box turns the search into a find-or-create: the setting above disappears and the editor asks for the fields needed to create the missing item.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass every match on at once.

  • Update Customer Status hits the wrong customer

    The action expects the Id Tapfiliate generated, not the Customer ID you supplied when creating the customer. Go through Find Customer to get the right one.
  • Find Conversion comes back empty

    External ID has to match the conversion's exactly. Any difference stops the Zap by default, and the steps after it are skipped.
  • The commission never changes status

    Update Commission Approval Status requires a Commission ID. Without Find Conversion upstream, the action has no ID to update.
  • The conversion Zap loops

    A Zap started by New Conversion that creates a conversion itself sets itself off on every run, and your task count drains fast.
  • Older sales never come through

    A Zap only reacts to what happens after you publish it. Earlier conversions and affiliates stay out of reach, and catching up on them is a separate job.
  • A bulk import gets held back

    Importing a huge batch of affiliates or customers at once can trip Zapier's flood protection, which then holds that batch back.

05Why can't Update Customer Status find the customer?
Because it expects the Id Tapfiliate generated, not the Customer ID you supplied when you created the customer. The fix takes one step: put Find Customer right before it, give it your Customer ID, and map the Id it returns into Update Customer Status. In the editor, Find Customer sits at the bottom of the Action event list, under SEARCH. The same logic applies to commissions, whose Commission ID comes from Find Conversion. A test run confirms it.
06What if the Tapfiliate operation you need does not exist?
Start with the find-or-create variants of the five searches: they cover creating affiliates, prospects, conversions and customers, including adding an affiliate to a program. There is no action to delete anything, though: you cancel a customer or disapprove a commission instead. If your project falls outside that, reframe it around these operations, or check what other automation platforms offer for Tapfiliate before you commit to one. Both routes are worth weighing first.
