The trigger never costs anything. Each action that succeeds is one task, and a failed one is not billed, so a Zap that creates a task and a note per new contact uses two tasks per contact. The free plan gives 100 tasks a month and Zaps of two steps only: one trigger, one action. A filter, a second action or a Find Contact step makes the Zap multi-step, which needs a paid plan. 1 search step looks for data that already exists in Wealthbox CRM, so a later step can use it.

A search step finds a record that already exists and hands it to the next steps. Wealthbox offers one, for contacts. You will find it at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the expected one.

Find Contact

Looks up a contact that already exists in Wealthbox and passes it to the following steps, which is how Update Contact or Add Member to Household get the record they need.

When to use it
a form or a booking tool sends you a client and you need the matching Wealthbox contact before writing anything.
Watch out
the editor also lists Find or Create a Contact; it is this same search with the create box ticked, not a separate operation.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the dependent steps. Switched on, the Zap carries on without a contact.
  2. Create X if it doesn't exist yet?
    Here X is the contact you look for. Ticking this box turns the search into Find or Create a Contact: the setting above disappears, and the step asks for the fields needed to create the missing contact.
  3. If multiple search results are found?
    Three ways out when several contacts match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Wealthbox Zap breaks

Zapier lists no help article specific to Wealthbox CRM. The failures come from the general way Zaps work and from a few requirements of this app.

Six situations cover what you are most likely to hit. If a run fails and the cause is unclear, the Zapier troubleshooting page walks through the checks, and the Zapier training is there if you want to go further.

  • Older records are ignored

    A Zap only reacts to what happens after you publish it. Contacts, tasks or notes created before that never start it; moving them is a separate job.
  • A Zap that triggers itself

    Listening to New Contact while running Create Contact, or Contact Updated with Update Contact, makes each write start the Zap again and eats tasks fast.
  • A flood after an import

    Importing a large list of contacts at once can produce a huge batch of events that Zapier's flood protection holds back instead of running.
  • Contact Updated stays silent

    This trigger only works on the Premier and Enterprise Wealthbox plans. On another plan, build the Zap on a different trigger, such as New Contact.
  • Recurring tasks never fire

    Task Complete only reacts to non-repeating tasks. Completing an occurrence of a recurring task will not start the Zap at all.
  • A name where an Id is expected

    Start Workflow needs the Id in Linked to Id, and Update Contact a Contact ID. A name in those fields makes the step fail; use Find Contact first.

Yes, on the Zapier side. Wealthbox CRM is not a premium app, so it works on the free plan, which gives 100 tasks a month and Zaps made of one trigger and one action. A Zap that creates a task for each new contact fits in that limit. As soon as you add a filter, a second action or a Find Contact step, the Zap becomes multi-step and needs a paid Zapier plan. 02How many tasks does a Wealthbox Zap use?

05Why does Start Workflow fail on a contact that exists?
Check first that Linked to Id received an Id, not a name. Start Workflow needs three things: a workflow template that already exists in Wealthbox, the type of record it links to (contact, project or opportunity) and the Id of that record. If your Zap starts on New Contact, map the contact Id from the trigger. If it starts elsewhere, for example from a form, put Find Contact before it and map the Id that the search returns. Then check that the template exists: build it in Wealthbox first.
06What if the Wealthbox action you need is not in Zapier?
Then Zapier cannot do it for Wealthbox today. The integration exposes 22 operations: 11 triggers, 10 actions and 1 search. There is no action to delete a record, to update an opportunity, task, event or project, and the only search is for contacts. Check the lists on this page first, since operation names stay in English in the editor.
