Mindbody alternatives: where to go and how to leave cleanly

Six studio platforms compared for the US market, one card per tool, and an eight-step exit plan.

The short answer: WellnessLiving if you want the closest all-in-one with published pricing and free migration. TeamUp if you never want to sign a contract again. Walla if you run a boutique studio and want no booking fees and unlimited users. Momence if you want a tailored offer and a vendor that runs the move. Glofox if you run a gym or a growing chain. Vagaro if you also offer services like massage or esthetics and still want a consumer marketplace. Before you pick, write down one date: the end of your current Mindbody term. Miss your notice window by a few days and the contract renews for another full term.

The ranking is editorial: a sponsored placement is always labeled on its card, and no affiliate link changes a score.

The real reasons

Why studio owners leave Mindbody, and why it takes so long

Mindbody is still one of the most complete platforms a studio can run on: booking, payments, a website, and a consumer app that sends you new clients. Its public rating is high (4.4 out of 5 across more than 2,000 reviews), but most of those stars come from people booking a class. Owners complain about other things: the contract, the price and their data. Six reasons, all checked for 2026.

A longer commitment than you think

Mindbody contracts run 12, 24 or 36 months depending on the plan. Even month-to-month usually starts with a 90-day minimum. And you can't cancel in the middle of a fixed term: sign for two years, switch after six months, and you still owe the remaining eighteen.

Auto-renewal and a 30-day notice window

At the end of the term, the contract renews automatically. To stop it, Mindbody asks for at least 30 days' notice before the term ends, or before the next billing date on month-to-month. The classic mistake: an owner decides on the 20th for a term that ends on the 1st, and signs up for another year without meaning to.

Clear entry price, fuzzy above it

In the US, Mindbody starts at $79 a month per location on Starter. Accelerate and Ultimate have no public price: you talk to sales. The branded app is a paid add-on. The good part: unlimited staff users, so adding an instructor costs nothing. The catch: every new location is a new subscription.

Your data, only partly free

You can pull CSV reports for clients, purchases, memberships, visits, sales and staff. The full export Mindbody prepares for you is a paid service, available for up to 30 days after cancellation. Once your account is deactivated, you lose access entirely. One owner says she had her staff re-key data by hand rather than pay the export fee.

A cut on every new client from the app

Your listing on the Mindbody consumer app is free. When a new client finds you there, Mindbody takes 20% of their first purchase. Nothing on existing clients or repeat purchases. That's fair for a truly new client, less so when a regular from your block books through the app instead of your site.

Heavy software for a small studio

Owner complaints sound alike: long support waits, a schedule that's complicated to set up, and pricing built for bigger operations. One studio owner says her signup rules didn't apply when clients booked through the Mindbody app, and that clients shouldn't have to act as go-betweens with tech teams. For a one-room studio with three teachers, that's a lot of settings for a simple need.

The 6 alternatives

Mindbody alternatives, tool by tool

For each tool: why switch to it, who it's for, its catch, how to move over from Mindbody, and what it costs. We compared their pricing pages and terms for 2026. When a vendor publishes no price, we say "quote only" instead of repeating a number from somewhere else.

01

WellnessLiving: the closest all-in-one, with the move done for you

Free migration

Why switch to WellnessLiving. It covers almost everything Mindbody does (booking, payments, marketing, a client app) for studios, gyms and spas. The difference is a public price list and free migration. Starter is $69 a month ($62 billed yearly), Business $199 ($179), BusinessPro $349 ($314), and Enterprise is quote only.

Who it's for. Owners who like Mindbody's scope but not its contract or its quote-only upper tiers.

Who it's not for. A solo instructor who only needs a schedule and a payment link: you'd pay for modules you won't open.

The catch. API access is a $19 a month add-on. Welcome promotions come and go, so compare on the regular price of your tier, not the banner.

How to migrate. Setup and migration are free: memberships, class packs, payment history and schedules. Stored cards move through the payment processor. Before you sign, ask for the list of what gets carried over, field by field, and keep it with your contract.

TeamUp: switch once and never sign a term again

No contract

Why switch to TeamUp. If the Mindbody contract hurt the most, TeamUp is the opposite: no contract, cancel anytime, no setup fee, unlimited locations. A data expert handles your import.

Who it's for. Studios and gyms that want to stay free to leave, and owners with several locations (the price doesn't jump with each new site, unlike Mindbody).

Who it's not for. A studio that relies on a consumer marketplace to bring in new clients: TeamUp doesn't have one.

The catch. Price follows your number of active clients and is recalculated every month based on the month before. The pricing page shows $189 a month for 101 to 200 active clients. Add-ons are extra and listed in pounds: Marketing Suite £89, branded app £79, Perform £79 a month. A strong January means a bigger February bill.

How to migrate. Send the import team your Mindbody CSV reports (clients, memberships, packs, visits). Ask how they handle stored cards: that transfer happens between payment processors, never through a file you touch yourself.

Walla: built for boutique studios that sell an experience

Boutique studios

Why switch to Walla. Walla targets the same boutique studios Mindbody does, with no booking fees and every user included. Pricing starts at $299 a month per location, billed monthly, with unlimited users. Pro is quote only.

Who it's for. Established boutique studios where the booking experience is part of the brand.

Who it's not for. A small studio watching every dollar: at $299 per location, Walla costs more than Mindbody's Starter.

The catch. Walla offers several contract lengths, and the price depends on the one you pick. Read the term and renewal clause as carefully as you should have read Mindbody's. Walla Offset, an option, passes a 3.9% fee on to your clients: decide whether your clients will accept that before you turn it on.

How to migrate. The Signature and Premier onboarding packages include moving your clients' stored cards to Stripe. Ask which package your quote includes before you sign.

04

Momence: a custom offer and a dedicated switch program

Custom offer

Why switch to Momence. Momence actively courts studios leaving other platforms, with a dedicated "Switch to Momence" page and a pricing model built around your situation rather than a fixed grid. If you want a vendor that will negotiate and run the move for you, it belongs on your shortlist.

Who it's for. Owners willing to sit through a sales call to get a tailored offer and a guided migration.

Who it's not for. An owner who wants to see a price before booking a call.

The catch. Momence publishes no price: it's custom pricing after a call. Some owners who left Mindbody warn about sales demos that promise more than the product delivers. Get every promise in writing.

How to migrate. Ask the switch team exactly what they move (clients, active memberships, pack balances, stored cards) and how long it takes. Do your own CSV exports from Mindbody first, so you can check their counts against yours.

Glofox: for gyms and growing chains

Gyms and chains

Why switch to Glofox. Glofox, from ABC Fitness, is a fitness management platform aimed at gyms and studios that want one system as they grow. Some owners leaving Mindbody name it among their destinations, and it shows hundreds of public reviews on the big review sites.

Who it's for. Gyms and multi-location operators who want one platform across sites.

Who it's not for. A solo teacher or a one-room studio.

The catch. Quote only. There's no price list to compare against Mindbody until you've been through a sales call.

How to migrate. Ask for the full list of files the onboarding team needs, in which format, and what they do about stored cards. If you use Zapier for leads or reporting, our ABC Glofox Zapier guide shows what you can automate once you're in.

Vagaro: a marketplace for studios that also sell services

Classes plus services

Why switch to Vagaro. If your business mixes classes with services (massage, esthetics, personal training), Vagaro covers both and keeps a consumer marketplace, like Mindbody's app. Its pricing works per bookable calendar and stops growing: one location is $30 a month, each extra calendar adds $10, and beyond seven licenses more staff cost nothing extra. Introductory pricing ($23.99 for the first six months on the base plan) is worth asking about.

Who it's for. Wellness businesses with a service side and a small team.

Who it's not for. A pure class studio that wants advanced class features and a big branded app.

The catch. Multi-location is quote only, and the card processing rate isn't on the pricing page: ask for it before comparing.

How to migrate. Ask Vagaro during signup how it imports a client CSV and future appointments, and bring your Mindbody exports to that call. Our Fresha switching guide covers the salon side in more detail.

The comparison

The 6 alternatives side by side

Our default pick: WellnessLiving if you want the closest replacement with the move handled, TeamUp if the contract is what drove you out. For scale, take one location: Mindbody Starter starts at $79 a month, WellnessLiving Starter is $69 ($62 yearly), Vagaro with three calendars comes to $50, Walla starts at $299. One row per tool: entry price on the left, commitment and migration on the right.

Exit plan

Leave Mindbody in eight steps

Order matters more than speed. Each step protects something: your money (the contract), your data (the export), your clients (their cards and the classes they've prepaid).

01

Read your contract and write down the term end date

First

Look for three things: the term (12, 24 or 36 months, or month-to-month), the end date of the current term, and the notice clause. On month-to-month, check whether you're still inside the first 90 days.

Then work backwards: notice at least 30 days before the term ends, exports done before the notice, new platform ready before the exports. That calendar drives everything else.

Time
one hour
Risk if rushed
another year to pay
02

Inventory everything running in Mindbody

List your class types, pricing options, packs, memberships, booking and cancellation rules, staff and permissions, website widgets, your Mindbody app listing, and any connected aggregators such as ClassPass.

Next to each line, write its equivalent in the new platform. That sheet becomes your checklist on switch day.

Time
half a day
Risk if rushed
a forgotten late-cancel rule
03

Export your data before you give notice

Before notice

From Reports, export CSVs of clients, purchases, active memberships, visits, sales and staff. Do it while the account is fully active, and store the files outside Mindbody.

If you want the full export Mindbody prepares, it's a paid service, offered only up to 30 days after cancellation. After deactivation, you have no access at all.

Format
CSV from Reports
Full export
paid, up to 30 days after
04

Carry over pack and membership balances first

Critical

A prepaid class is money you owe a client. It's the most sensitive data in the move: a 10-class pack with 4 left must land in the new system with 4, not 0 and not 10.

Export balances the day before the switch, not a week before, so classes used in between don't get lost. Then spot-check ten clients by hand.

Risk if rushed
upset clients, refunds
05

Arrange the transfer of stored cards

Your members' stored cards don't travel in a CSV. They move processor to processor, encrypted, on request (often into Stripe). Ask your new vendor before signing whether they can receive that transfer.

If they can't, plan a campaign asking each member to re-enter a card. After the switch, confirm no card is still being charged on the Mindbody side.

Who does it
the processors, on request
Risk if rushed
memberships that fail to renew
06

Send written notice at least 30 days before the end

30+ days out

Send your cancellation in writing and keep proof it was received. On month-to-month, the 30 days count back from the next billing date; on a fixed term, from its end.

Add a week of margin. A notice sent on a Friday night before a long weekend won't be processed that day.

Window
30 days minimum

written, saved
07

Reconnect aggregators, your website and links

Reconnect each aggregator to the new platform, swap the booking widgets on your website, and update the links in your social profiles. Your Mindbody app listing disappears with the account, so tell clients who booked there.

Run one full test booking per channel, payment included.

Channels

Test

08

Pick your switch date and tell your clients

Avoid January and September: that's when signups spike and a mistake costs the most. Tell clients twice: once when you announce the change, again the day before, with the link to the new app or booking page.

Run both systems side by side for a few days if your Mindbody term allows, to catch any lost bookings.

Exit pitfalls

What makes a Mindbody exit go wrong

The same mistakes come up again and again in owners' stories. None of them is technical: they're about dates and contracts, and each one costs more than the time it would have taken to avoid it.

Missing the notice window

Notice sent 25 days before the term ends means another full term. On a one-year contract, that's at least twelve more months of Starter. Put the date in your calendar today.

Canceling before exporting

After deactivation there's no access. Your only way back to your data is the paid export, offered up to 30 days after cancellation. Export everything while the account is live.

Forgetting cards that are still active

Owners describe client cards still on file and active after they canceled. Check that no membership is still running on the Mindbody side after the switch, and warn clients that the name on their bank statement will change.

Taking the sales demo at its word

Anything promised in a demo (balance carry-over, card transfer, aggregator connections) belongs in writing on the quote. It's what you'd have liked to read before signing with Mindbody.

Signing a new lock-in without reading it

Switching only to land in another 24-month term makes no sense. Ask the new vendor for the term, the renewal rule and the notice period. TeamUp has no contract; Walla's price depends on the term you choose.

Comparing prices that don't compare

Mindbody bills per location, TeamUp per active client, Vagaro per calendar, Walla per location and term. Compare on your real numbers, card fees included. Our gym management software ranking and our sports club software ranking cover more options.

FAQ · 8 questions

Mindbody alternatives: frequently asked questions

  • How much does Mindbody cost per month?

In the US, Starter begins at $79 a month per location, with unlimited staff users. Accelerate, Ultimate and Enterprise are quote only, and the branded app costs extra. In the UK the same plan starts at £89. On top, budget for card processing and 20% of each new app client's first purchase.

  • Can I cancel Mindbody anytime?

No. On a fixed term (12, 24 or 36 months) there's no mid-term cancellation. Month-to-month usually comes with a 90-day minimum. Either way, the contract auto-renews and needs at least 30 days' written notice. Keep proof that your notice was received.

  • How do I export my client list from Mindbody?

From Reports, export CSVs of clients, purchases, memberships, visits, sales and staff. The full export Mindbody prepares is a paid service, available for up to 30 days after cancellation. Do your exports before you send notice, then re-export balances the day before you switch.

  • Will my clients' stored cards transfer to the new software?

They can, but not through a file. Cards move between payment processors, encrypted, when the new vendor requests it. WellnessLiving includes it in its free migration, and Walla includes it in its Signature and Premier onboarding. Get it in writing, or plan for members to re-enter their cards.

  • Does Mindbody take a commission on bookings?

Only on new clients from its consumer app: 20% of their first purchase. Nothing on existing clients or later purchases, and the listing itself is free. Bookings through your own website or branded app carry no marketplace fee, only card processing.

  • Is there a free alternative to Mindbody?

Not a serious one for a studio with memberships and a team. The cheapest paid options here are Vagaro at $30 a month for one calendar and WellnessLiving Starter at $69 a month. If you mostly coach clients online rather than run a schedule, our Trainerize switching guide and online coaching software ranking fit better.

  • What's the best Mindbody alternative for a spa or wellness center?

If services outweigh group classes, salon and spa software will serve you better. Vagaro covers both sides with a marketplace, and WellnessLiving handles studios and spas. Our beauty salon and spa software ranking compares the rest.

  • How long does it take to switch from Mindbody?

The data part takes days, not weeks, if the new vendor runs the import. The real constraint is your contract: you need your new platform ready, your exports done and your notice sent at least 30 days before the term ends. Count backwards from that date, then add a week of margin.
