Quipu alternatives: where to go and how to switch without losing an invoice

Quipu alternatives for freelancers and small companies in Spain: six reasons people leave, seven tools to move to, and a nine-step exit plan built around the notice period.

The short answer: if you are an autónomo (self-employed in Spain) who wants the same kind of tool without Quipu's caps, go with Cuéntica: unlimited invoices from €9 a month and TicketBAI (the Basque Country's own invoicing system) on every plan. If your business is outgrowing invoicing, with inventory, a CRM or a team, Holded runs in English and covers far more. TS Facturas is the cheapest option in the Basque Country, Anfix the cheapest paid plan anywhere (€4.99 a month, billed yearly), and Declarando takes your tax filings off your plate. Before you hit "Darse de baja" (cancel), know two things. Quipu requires one month's notice, even on a monthly plan. And a yearly plan is never refunded for the unused months. Export first, cancel second. We compared seven destinations and their prices in 2026.

The real reasons

Why people leave Quipu, and what it still does well

Quipu is a Spanish invoicing and tax-tracking app for autónomos and small companies, now owned by the Italian group TeamSystem (which also owns TS Facturas). It has an English interface, which is one reason so many expats picked it. Credit where it's due: it's simple, it reads your expense receipts automatically (OCR), and your gestoría (the accounting firm that files your taxes) can work in the same account. Most of its public reviews are still five stars. The complaints cluster around six issues in 2025 and 2026.

Outages since the Verifactu update

Verifactu is Spain's new invoicing compliance system: your software records every invoice in a tamper-proof way and can send it to the AEAT, the Spanish tax agency. Quipu's rollout left a trail of one- and two-star reviews. Automatic sales invoices stopped going out. A numbering change blocked invoicing. Simplified invoices couldn't be issued for several days. In 2026, one user describes bulk sending of simplified invoices being down for almost a month. Bulk import of corrective invoices was removed in 2025. If you invoice daily, a few blocked days hurt.

Slow support, and no phone on the entry plan

On Starter, support is email only. That's stated on the pricing page. Chat and phone start on Solution, at €30 a month. Recent reviews keep repeating the same point: answers take several days, if anyone answers at all. One customer says they waited two months for an answer about the Verifactu API. If your business depends on fast answers, this matters more than the price.

The headline price isn't what you pay

The big €8.50 a month is a 50% discount for three months. After that, Starter is €17 a month before VAT, Solution €30, Premium €59. Prices also went up: Solution used to be €28, and the old Business plan is gone. Starter has no bank connection, no API, only 30 scanned receipts a month and one user (each extra user costs €5 a month). One English-speaking reviewer also flagged that you can't add a VAT number to a foreign contact.

Leaving takes notice, and yearly plans aren't refunded

Quipu's terms are clear, but few people read them. Monthly plans need at least one month's notice. Yearly plans renew automatically: you must cancel at least one month before the renewal date, and Quipu never refunds the remaining months. At least one user says they lost access as soon as they requested cancellation, before downloading everything, and a 2026 review describes the data as being held hostage. The fix is simple: export everything before you cancel.

Weak spots once you leave the simple case

Quipu doesn't support TicketBAI, mandatory in the Basque Country; its own comparison page says so. It doesn't support FACe (invoicing Spanish public bodies), true multi-company setups or payroll. Users report poor handling of other EU currencies and no two-factor authentication. Others mention errors on Modelo 390, the annual VAT summary, in 2026. For an autónomo invoicing Spanish clients in euros, none of this blocks you. For a freelancer billing clients abroad, it adds up fast.

Taxes you still file yourself

Quipu prepares your Modelo 303 (quarterly VAT), 130 (income tax prepayment) and 111 (withholding). On the base plans, it only prepares the forms; Quipu sells an optional gestoría service from €80 a month. If you're an expat still learning the Spanish system, that's often the real reason to leave: you don't want a better form filler, you want someone to handle the forms. Some users also report tax calculation errors in 2025, which is exactly when a human check pays off.

The 7 alternatives

Quipu alternatives, tool by tool

For each tool: why move to it, who it's for, its main limit, how to migrate from Quipu, and what it costs. Prices are before VAT, as published by each vendor in 2026. For reference, Quipu Starter is €17 a month, €204 a year paid monthly or €168 paid upfront. We left out generic English lists' favorites like Xero (no native Verifactu) and Odoo (too heavy for someone coming from a tool this simple).

01

Cuéntica: the closest replacement, without the caps

Closest to Quipu

Why switch to Cuéntica. It's the tool most like Quipu, minus the limits. Invoices and users are unlimited from the first plan, and its pricing page shows no monthly cap on scanned receipts. TicketBAI and IGIC (the Canary Islands' version of VAT) come with every plan, which Quipu doesn't offer. Verifactu works in both modes, with or without automatic sending to the tax agency. And you can export all your data to Excel or PDF, which makes the next move easier too.

Who it's for. Autónomos who send lots of small invoices, and those who want tax help without changing tools: the "Tutelada" plans add an advisor who prepares your filings.

Who it's not for. A business that needs inventory or a CRM.

Its limit. The €9 Facturación plan only does invoicing. Expense tracking starts at Gestión (€19), tax filings at Fiscalidad (€29). To match Quipu Solution, budget €19 to €29 a month.

How to migrate. 15-day trial, no lock-in. Import your contacts from Quipu's Excel export and start a new invoice series. Paying yearly gets you two months free.

02

Holded: when your business outgrows invoicing

Most complete

Why switch to Holded. Quipu stops at invoices, expenses and taxes. Holded adds full accounting, inventory, a CRM, projects and payroll as an add-on, and its interface is available in English. If you're hiring or running more than one line of business, it grows with you. Verifactu is included on every plan.

Who it's for. The freelancer turning into a small company, and teams of 2 to 10 people who want everything in one place.

Who it's not for. Anyone leaving Quipu over slow support: Holded gets the same complaint, with priority support kept for expensive plans. We cover its downsides in our guide to leaving Holded.

Its limit. Each plan caps invoices per year: 250 on Plus (€15 a month), 1,000 on Básico (€29). Full accounting starts on Estándar at €59 a month. The first three months are half price, so budget for the full price from month four.

How to migrate. Holded imports contacts and products from Excel. There's a 14-day trial with no card, enough to import your clients and send a test invoice.

TS Facturas: the cheapest option in the Basque Country

TicketBAI included

Why switch to TS Facturas. It's the former Billin, owned by the same group as Quipu. From the Básico plan, it includes unlimited Verifactu, Facturae (the format for invoicing Spain's public sector) and TicketBAI. If you work from Bilbao, San Sebastián or Vitoria, it fixes Quipu's most obvious gap.

Who it's for. Freelancers and small companies with few clients, especially in the Basque Country, who want compliant invoicing from their phone.

Who it's not for. Anyone with more than 50 clients, or who wants taxes prepared: TS Facturas invoices, it doesn't do your returns.

Its limit. Básico is tiny: 5 clients, 1 user, 10 products, 5 scanned documents. Client number six moves you to Pro (€17 a month, €14 yearly, up to 50 clients and 3 users). Beyond that, Ilimitado costs €28 (€23 yearly).

How to migrate. There's no direct import of your invoicing data from Excel. With five clients, typing them in is faster than any import. With more, ask support to move your data before you pay. 30-day trial, no card.

Anfix: the cheapest paid plan

Tight budget

Why switch to Anfix. If price is why you're leaving Quipu, this is where the gap is widest. Básico costs €5.99 a month, or €4.99 billed yearly: €59.88 a year versus €168 for Quipu Starter paid yearly. It handles invoicing and basic bookkeeping, with Verifactu.

Who it's for. A freelancer who sends about one invoice a week, outside the Basque Country.

Who it's not for. Anyone above 60 invoices a year, or invoicing from the Basque Country: its pricing page says nothing about TicketBAI.

Its limit. The cap: 60 invoices a year on Básico, then 300 on Avanzado (€14.99 a month, €12.49 yearly).

How to migrate. Count last year's invoices before picking a plan and add 30% headroom. Then import your contacts from Quipu's Excel export.

Declarando: stop filing your own taxes

Tax advisor included

Why switch to Declarando. Quipu helps you prepare Modelos 303, 130 and 111, but you (or your gestoría) still file them. Declarando puts a tax advisor (a gestor) inside the app. For an expat who dreads every quarter-end, that's a change of job, not just of software.

Who it's for. Freelancers who want to hand off their filings and don't have a gestoría yet, or want to replace theirs.

Who it's not for. Companies, or anyone keeping a gestoría they like: you'd pay twice.

Its limit. The entry plan, Verifactu Plus at €9.90 a month, only tracks 5 expenses a month. Real delegation costs €29.90 (with your own gestor) or €49.90 a month (Declarando files your taxes), prices shown with yearly billing.

How to migrate. Start on the first day of a quarter so the advisor picks up a full period. Stay on the entry plan for a month to judge the support, then decide.

Contasimple: free if you barely invoice

Free to start

Why switch to Contasimple. Quipu has no free plan, only a 15-day trial. Contasimple has one, with Verifactu included: 12 documents a year and 10 clients. For a side business, that's enough to stop paying.

Who it's for. A freelancer who sends one invoice a month, or someone starting a side activity.

Who it's not for. Anyone above one invoice a month: Profesional then costs €12.95 a month (€10.95 yearly, 500 documents a year), and Anfix becomes cheaper.

Its limit. TicketBAI has its own page, but plan-by-plan support still needs written confirmation. If you ever cancel, keep written proof of your request.

How to migrate. At 12 documents a year, manual entry is enough: add your active clients, open a new invoice series, and keep your Quipu archive separate.

The AEAT's free app: zero cost, zero frills

Free, from the tax agency

Why switch to it. The Spanish tax agency offers a free app to issue Verifactu invoices. If you only send a handful of invoices, it costs nothing and comes straight from the source. In the Basque Country, the provincial tax offices have their own free tools for TicketBAI: Haz tu Factura in Bizkaia and FakturaBAI in Gipuzkoa.

Who it's for. Very low volume: three or four invoices a month to identified clients.

Who it's not for. Anyone who wants expense tracking, receipt scanning or tax preparation. Those were the reasons you picked Quipu in the first place.

Its limit. It issues invoices and that's it. No expenses, no quarterly forms, no help.

How to migrate. Nothing to import. Keep your Quipu archive, continue your numbering or open a new series, and issue your next invoice there.

Migration plan

Move off Quipu in nine steps

With Quipu, order matters more than usual, because of the notice period and the access that can disappear when you cancel. Each step protects something: your money, your data, your numbering, your compliance.

01

Check your contract: monthly, yearly or Kit Digital

First

Go to Configuración, then Suscripción, and note your plan type and renewal date. Monthly plans need at least one month's notice. Yearly plans renew automatically and the unused months are never refunded, so your best exit date is the renewal date.

Special case: if Quipu was paid for by the Kit Digital (Spain's public grant for small-business software), the solution must stay active for twelve months. Check your agreement before leaving so you don't lose the grant.

Monthly
one month's notice
Yearly
no refunds
02

Pick your switch date

Calendar

Switch at the start of a quarter, once the previous quarter's Modelo 303 is filed. You avoid splitting one VAT return across two tools, and your new advisor starts on a clean period.

Line this up with step one: ideally, your Quipu renewal falls right after a quarterly filing.

Best
quarter start, after the 303
03

Export everything before touching your subscription

Data

Quipu says you can take all your information in Excel, along with every attached document. Do it now, not later: at least one user reports losing access the moment they asked to cancel.

Export issued invoices, expenses, contacts, products and scanned receipts. The main export is an Excel file, so check separately that you have the PDF of every invoice you issued.

Format
Excel + attachments
Trap

04

Archive outside the tool, for four years

Legal

Spain requires you to keep invoices for 4 years. Store your exports in a dated folder on a drive you control, then open a few files at random to check they work. An archive that only lives inside Quipu disappears with your subscription.

05

Tell your gestoría

Day 1

If your accounting firm works inside your Quipu account (through Quipu Asesoría, for example), it will lose that shared access. Warn them before the switch, ask what they need for the last quarter, and check they can work with your new tool.

If forgotten

06

Import into the new tool

Switch day

Start with contacts, then products, then history if the tool allows it. Use the target tool's import template and paste your Quipu columns into it without renaming or moving any column. Import a small batch of ten rows first; if it works, send the rest.

For TS Facturas, plan on manual entry or a data move by support.

Order

07

Set numbering and Verifactu before the first invoice

Legal

Invoice numbers must stay continuous. Two options: carry on from the last number issued in Quipu, or open a new series (for example "2027-B"). Set this counter before you turn on VERI*FACTU mode in the new tool.

Watch the one-way door: you can switch to VERI*FACTU mode mid-year, but you can't switch back out before January.

08

Get compliance proof in writing

Tax

Spain has no official list of approved Verifactu software: each vendor signs a declaración responsable, a signed statement of compliance. Ask the new tool for it. In the Basque Country, also check that the tool is registered as TicketBAI software with your provincial tax office (Álava, Bizkaia or Gipuzkoa).

09

Cancel Quipu, then check your bank statement

Last

Once everything is exported and checked, cancel under Configuración, Suscripción, "Darse de baja", at least one month before renewal. Screenshot the confirmation. Next month, check your bank statement: without written proof, an extra charge is hard to dispute.

Migration pitfalls

What makes a Quipu migration go wrong

The same mistakes show up in user reviews and in Quipu's own terms. None of them is technical: they're timing and paperwork slips, and each costs more than the ten minutes it would take to avoid.

Cancelling before exporting

The most expensive mistake. Access can stop the moment you ask, and getting your data back becomes a support ticket. Export, check, then cancel.

Forgetting the month's notice

Even on a monthly plan, Quipu asks for one month's notice. Cancel the day before renewal and you pay another month.

Leaving halfway through a paid year

Yearly plans aren't refunded for unused months. Leaving mid-year means paying for two tools. Time your exit to the renewal date.

Trusting "Verifactu-ready" on a homepage

A marketing badge proves nothing. Only the vendor's signed compliance statement commits them. Ask for it before you pay.

Switching mid-quarter

A Modelo 303 built half in Quipu and half elsewhere is an error waiting to happen, for you and your gestoría. Switch on the first day of a quarter.

Moving to another tool without TicketBAI

Leaving Quipu for another tool without TicketBAI fixes nothing if you invoice from Álava, Bizkaia or Gipuzkoa. Check registration with your provincial tax office first.

FAQ · 8 questions

Quipu alternatives: frequently asked questions

  • How much does Quipu really cost?

€17 a month before VAT for Starter, €30 for Solution and €59 for Premium. The €8.50 you see first only lasts three months. Paid yearly, Starter works out at €168 (€14 a month), but yearly plans aren't refunded if you leave early. Add €5 a month per extra user and €10 for each pack of 50 receipts over your quota.

  • Does Quipu support TicketBAI?

No. Quipu's own comparison page shows it supports neither TicketBAI nor FACe. In the Basque Country, TS Facturas (from €8 a month) and Cuéntica (from €9) include it on every plan. For very low volume, Haz tu Factura (Bizkaia) and FakturaBAI (Gipuzkoa) are free public tools.

  • Is there a free alternative to Quipu?

Yes, for small volumes. Contasimple is free up to 12 documents a year, Verifactu included, and the AEAT's own app issues Verifactu invoices for free. Beyond about one invoice a month, a €5 to €9 tool saves you more time than it costs.

  • Is Quipu reliable?

Mostly, yes: it keeps a good average rating, 72% of its public reviews are five stars, and the company replies to every negative review. Recent complaints focus on outages after the Verifactu update and slow support. If you stay, run an Excel export every quarter and store it outside the tool. If you run a small company rather than freelance, compare with our best Verifactu software for SMEs in Spain.

  • Can I get a refund on a yearly Quipu plan?

No. Quipu's terms set a one-year contract that renews automatically, with no refund for the remaining period. Your only lever is timing: cancel at least one month before renewal so you don't roll into another year.

  • What happens to my data when I leave Quipu?

The terms say Quipu returns your data when the contract ends, without stating a deadline or a format. In practice, at least one user lost access as soon as they requested cancellation. Run a full Excel export first, and keep your invoices outside the tool for the 4 years Spanish law requires.

  • Quipu or Holded: which one for an expat freelancer?

Quipu if you want a simple tool to invoice and prepare your quarterly forms. Holded if you need inventory, a CRM, full accounting or a team. Both have English interfaces, and both get criticism for support. To compare every Verifactu tool for freelancers, see our best Verifactu software for freelancers.

  • Can I connect Quipu to other apps instead of leaving?

Yes, from the Solution plan up: the API is closed on Starter. Quotas run from 500 to 2,000 calls a month depending on the plan, then €12 per extra pack of 500. To link Quipu to your CRM or online store without code, see our Quipu on Make page. Sometimes an automation fixes the problem that made you want to leave.
