What the Botsify Zapier integration actually does

Botsify lets you build chatbots for a website or a Facebook page without writing code, so the bot answers common questions before a person has to. The Zapier integration watches what happens in those conversations (leads, forms, help requests, new subscribers) and lets a Zap teach the bot a new answer or message its Facebook audience.

Start with timing, because it shapes everything else. All six triggers are polling triggers: Zapier goes to Botsify at a set interval and picks up what is new. On the free plan that is every 15 minutes, so a help request can wait that long before the Zap moves. If minutes matter, the plan grid below is the lever.

Three results come up most. Leads that reach your team: New Lead and Form Submitted hand over what the bot collected. A bot that learns: Create Story adds a question and the answer the bot should give. A message to everyone at once: Send Broadcast writes to all the users of the bot on Facebook.

What Zapier does not do for Botsify: there is no search step, so a Zap cannot look up a user or a past conversation by value. No action edits or deletes a story, and the broadcast goes to all Facebook users of the bot, not to one person. The Botsify Make integration covers the same app on Make.

The trigger never costs a task, and neither do Zapier's checks on Botsify, however often they happen. Each action that succeeds counts once, so a Zap with two actions uses two tasks per run. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, limited to two steps and checked every 15 minutes. Add a filter, for example to keep only one form, and you need a paid plan, which also checks more often.

    In your Zapier account, go to Apps and click + Add connection. A connection is your Botsify account linked once, then reused by every step that touches Botsify.

    Find Botsify

    Type Botsify in the search box of the dialog, select it, then click Add connection. You need an existing Botsify account, with access to any bot you do not own yourself.

    Sign in and grant access

    Sign in to Botsify in the tab that opens and grant Zapier access to the account. Every Botsify step in your Zaps can then reuse that same single connection.

First Zap

Your first Zap: turn an internal Q&A form into bot answers

    Build: pick the trigger

    Create a Zap, choose Botsify, then Form Submitted. Select the form your support team uses to propose new answers. The form selection is required.

    Test the trigger

    Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real submission rather than an empty sample.

    Add the filter

    Add a Filter from the plus icon: the field to check, the rule, the value. A text rule for text, or the filter never passes. This makes the Zap multi-step, on a paid plan.

    Add Create Story, then publish

    Add Botsify, Create Story, and map the user query and the bot response, both required. Test the step, read what came back, then Publish.

When it breaks

When a Botsify Zap breaks

Zapier attaches no help article to Botsify and the source lists no limit specific to the app. What breaks is what breaks on any Zap.

  • Past leads never come through

    A Zap only reacts to what happens after you switch it on. Leads, forms and subscribers collected before stay out; moving that backlog is a separate job.
  • A broadcast sent over and over

    Put Send Broadcast behind a trigger that fires often and every run messages your whole Facebook audience again. Pick a rare trigger, and add a filter.
  • A surge of conversations held back

    A campaign that brings many new subscribers at once makes a trigger return a huge batch. Zapier's flood protection can hold that batch back.
  • The same lead will not run twice

    On a polling trigger, Zapier remembers what it has already seen. A lead it has already picked up once does not start the Zap a second time.

Botsify Zapier integration: questions

01Is the Botsify Zapier integration free?
Yes. Botsify is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stays at two steps: one trigger and one action. As soon as you add a filter, for example to keep only one of your website bots, or a second action, the Zap becomes multi-step and needs a paid plan. A simple Zap such as Botsify Human Help to a message in your team chat stays free within the monthly allowance.
02How many tasks does a Botsify Zap use?
One task per action that succeeds, nothing for the trigger. Zapier's checks on Botsify cost nothing either, however often they run. A Zap from Form Submitted to Create Story costs one task per form. Watch User Attribute Added: each new attribute starts the Zap, so one conversation can mean several runs. An action that fails is not counted. Estimate the events you expect in a month, multiply by the number of actions, and compare with your allowance.
03Is Botsify on Zapier real time?
No. All six Botsify triggers are polling triggers: Zapier goes to Botsify at a set interval and picks up what is new. That interval depends on your plan: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can also run a check by hand from the editor. If a help request must reach someone within minutes, the free plan will feel slow, and a paid plan is the lever.
04What do you need to connect Botsify to Zapier?
A Botsify account, plus access to any bot you do not own but want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Botsify, then click Add connection. Sign in to Botsify in the tab that opens and grant Zapier access. That connection is then reused by every Botsify step in your Zaps, so you set it up once per account and pick it from the list in each step afterwards.
05Why does Get User Conversations return nothing?
Most often because the Bot User ID is missing or wrong. The field is required and the trigger only follows the conversations of that one user. Check the ID in Botsify, paste it into the trigger, and run the test again. Keep in mind it is a polling trigger: a conversation that happened before the Zap was switched on is not picked up, and a new one appears only after the next check of your plan.
06What if the Botsify operation you need is not there?
Then the integration does not do it today. There is no search step, so a Zap cannot find a user or a past conversation by value, no action edits or deletes a story, and Send Broadcast cannot target a single person. The workable route is to start from a trigger that already carries the user or the conversation, then act on it. If that is not enough, a Zapier agency can tell you whether another route covers the gap.
