What is the best employee referral software in 2026?

The one your employees actually open, that feeds your applicant tracking system, and that pays the bonus without a spreadsheet. Almost every vendor quotes on request, so we show you what to compare instead of a sticker price.

Employee referral software lets your staff recommend people they know for open roles. It tracks each referral through to the hire, keeps the referrer posted, and triggers the bonus once your conditions are met.

The short answer: Teamtailor is the best pick if you also need an applicant tracking system (ATS), because referrals are included at no extra cost. Keycoopt is the strongest dedicated platform, with configurable bonuses, internal mobility and help designing the program. Odoo Referrals is the obvious choice for companies already running Odoo, and the only tool here with public pricing. Softgarden suits teams that want data hosted in Germany. Basile, owned by HelloWork, targets large employers that want a branded app with challenges and leaderboards.

Your first decision is the category, not the brand. A referral module inside your ATS costs nothing extra and avoids double entry. A dedicated platform plugs into your ATS and adds engagement features. And referral marketplaces, where strangers earn the bonus, are not employee referral at all.

How we rated

How we compared and scored

Many top results for this search are written by vendors that rank themselves first, or by directories that list forty tools with no opinion. Very few say which tool is wrong for whom, and almost none admit that most referral programs fail because nobody promotes them, not because of the software.

We read each vendor's official pages and public documentation, then recruiter discussions about running referral programs day to day. We kept one central criterion: the tool must let an employee refer someone for a role, track that referral to the hire, and handle the bonus or at least trigger it. If we could not confirm that on an official source, the tool is not ranked.

That leaves out ERIN and Boon, both well known in the US, because their official sites were unreachable when we read them and their prices only circulate on review sites, with figures that contradict each other. Radancy (formerly Firstbird) is out because its product page was missing. Flatchr mentions referrals as a sourcing channel without describing a module. Ask ERIN and Boon for a demo if you are in the US: just compare them on the checklist below.

All five criteria weigh the same: it is the grid used across our pages, so a tool keeps one score everywhere on the site. Since prices are quote-based, value for money rates what is included (module bundled or extra, onboarding, deployment), not a dollar amount.

1
Best dedicated referral platform

Keycoopt

4.3/5

Keycoopt is a French vendor that only does referrals and internal mobility, and its site runs in English as well as French. Employees see open roles, refer someone, and follow the application transparently through to the hire. Bonuses follow your own rules, and the same platform handles employees applying for internal moves.

What sets it apart is the service around the software. Keycoopt offers to help design the program (bonus amounts, eligibility, communication) and to train your teams. For a company starting from zero, that is usually the missing piece, since software alone never made anyone refer. A white-label option puts your brand on the portal, and it connects to an existing ATS, HRIS or CRM, though the integration list is not spelled out on the site.

Its client logos include Accor, Decathlon, KPMG and Saint-Gobain, which tells you the target: large organizations, mostly European. The vendor claims roughly €312 per referral hire against €7,000 for a traditional hire; that is its own math, so redo it with your numbers.

The limit: no public price, and nothing on data hosting on the main site. Ask for both in the demo, with the exact list of connected ATS.

Standout features
  • Dedicated to referrals and internal mobility
  • Bonus rules you configure yourself
  • Program design and training support
+Pros
  • ✓Help launching the program, not just a login
  • ✓White-label option
  • ✓Long list of enterprise references
−Cons
  • ✗No published pricing
  • ✗Data hosting not stated on the site
  • ✗Integration list not detailed
Verdict

The strongest choice for an employer that wants a real referral program and a partner to start it. Overkill if your ATS already handles referrals well.

Best if you also need an ATS

Teamtailor

4.2/5

Teamtailor is a Swedish applicant tracking system: job posts, career site and candidate pipeline in one place. Its pricing page shows no numbers (you get a quote), but it is explicit on one point that matters here: Internal Mobility & Referrals is included. Only a few extras, such as requisition approval flows and multi-brand setups, sit in Premium.

An employee refers from their own dashboard, either to a specific job or as a general referral, and the recruiter gets notified. The referred candidate lands in the same pipeline as everyone else. No export, no copy-paste between tools: that is the whole case for an ATS module over a standalone platform.

For a company of 50 to 500 people, this is often the honest answer to "do we need referral software?" Not if your ATS already does it. If you are a Teamtailor customer today, switch the feature on before you buy anything.

The limit: a module stays a module. There is no dedicated program design help, and bonus handling is simpler than in a specialist tool. Ask in the demo how a bonus gets triggered and who approves it.

Standout features
  • Referrals and internal mobility included in the plan
  • Employees refer from their own dashboard
  • Referred candidates sit in the same pipeline
+Pros
  • ✓No extra tool to buy or connect
  • ✓Recruiter notified on every referral
  • ✓One system for the whole hiring process
−Cons
  • ✗No public pricing
  • ✗Lighter bonus management than a dedicated tool
  • ✗Only makes sense if you take the ATS
Verdict

The best mix of simplicity and cost if you are choosing an ATS anyway. Skip it if you are happy with your current ATS.

Best branded referral app for large employers

Basile (HelloWork)

4.0/5

Basile is a Paris-area startup bought by French job board group HelloWork in 2022, when it had eight employees. It claims over 100 large clients, including Bouygues, Carrefour, Safran and Veolia. The product is a portal and app in your branding, where employees refer in two clicks and follow the application in real time.

Basile bets on participation: employees share jobs on social networks, take on challenges, and HR gets a monthly KPI report with internal mobility stats. It connects to ATS, HRIS and CRM tools.

Public user reviews praise a simple app that works on any device, but flag that admins cannot see every KPI and that changing bonus amounts goes through support. A review site also rates onboarding as slow, around six weeks.

The limit: built for French enterprises, with little presence elsewhere and no public price. For a US company, look at the dedicated tools mentioned in our method instead.

Standout features
  • Branded app and referral portal
  • Challenges and job sharing to drive participation
  • Monthly KPI and internal mobility reporting
+Pros
  • ✓Two-click referrals
  • ✓Backed by HelloWork
  • ✓Enterprise references
−Cons
  • ✗Bonus changes go through support, per user reviews
  • ✗Onboarding reported as slow
  • ✗No public pricing, French-market focus
Verdict

Worth a look for a large group with a big French workforce. In the demo, ask who can change bonuses and see every KPI.

Best for companies already on Odoo

Odoo Referrals

3.9/5

Odoo is a Belgian ERP: a suite of apps (sales, accounting, HR) on one database. Its Referrals app adds employee referrals with a game layer. Employees earn points at each stage their referred candidate passes, then trade them for rewards you define. The app leans into the fun side, with a superhero theme and an avatar that grows with each hire.

Referrals depends on the Employees, Recruitment and Website apps, so it is a floor added to an Odoo building, not a standalone tool. Only Recruitment administrators can see the program's reporting.

It is the only tool here with public pricing. Standard costs $31.10 per user per month ($38.90 list price) and Custom $61.00 ($76.20), the discount applying for 12 months to users in the initial order. Odoo also offers one free app with unlimited users, which includes the apps it depends on; check at sign-up whether Referrals qualifies with its dependencies rather than assuming it does.

The limit: rolling out an ERP just to run referrals makes no sense.

Standout features
  • Points at every candidate stage, traded for rewards
  • Same database as your Odoo HR and recruiting
  • Only public price in this ranking
+Pros
  • ✓No connector to maintain if you are on Odoo
  • ✓Rewards are yours to define
  • ✓Clear public pricing
−Cons
  • ✗Requires Employees, Recruitment and Website
  • ✗Playful theme will not suit every culture
  • ✗Pointless outside the Odoo ecosystem
Verdict

A no-brainer if you run Odoo, off-topic if you do not. Thinking of leaving Odoo? Our Odoo switch guide covers the options.

Best for data hosted in Germany

Softgarden

3.8/5

Softgarden is a German applicant tracking system. Its candidate attraction range includes an Employee Referral module. The site carries a "Cloud Services made in Germany" badge and claims compliance with German and European data protection rules, which is more than most vendors here say about hosting.

Pricing goes through a packages page that leads to a quote; the module has no listed price. A specialist overview says the portal runs in 18 languages and lets employees refer without creating an account. Both points are worth confirming in a demo, especially for a group with teams in several countries.

The limit: limited English-language user feedback, and referrals only make sense if you adopt the whole ATS. For a US company with an ATS already in place, Softgarden is not an option.

Standout features
  • Referral module inside the ATS
  • German hosting and compliance stated
  • Multilingual portal
+Pros
  • ✓Clear data residency story for GDPR
  • ✓One tool for hiring and referrals
  • ✓Fits multilingual groups
−Cons
  • ✗No published price
  • ✗Little English-language user feedback
  • ✗Useless if you keep your current ATS
Verdict

A sound option for a European company choosing an ATS with data hosting at the top of its list.

Real cost

What employee referrals really cost, software and bonus

The software is only half the bill. The other half is the bonus, and the habits that make people use the tool.

The software

Almost every vendor quotes on request. A module inside your ATS, as at Teamtailor, adds nothing. A dedicated platform such as Keycoopt or Basile comes on top of your ATS, with deployment time: one review site cites six weeks for Basile. Odoo is the only one with per-user public pricing.

The bonus

Recruiters in public discussions describe bonuses from a couple of thousand dollars to ten thousand for hard roles, and programs that still go unused. Treat the bonus as pay: it normally runs through payroll, so check the tax treatment with your payroll provider before you announce an amount.

The hidden cost: attention

The most common reason programs fail is that nobody remembers them. Budget a monthly email of open roles and a few minutes per referral to reply. A program with a smaller bonus and steady reminders beats a large bonus nobody hears about.
  • Check whether your ATS already includes referrals before buying.
  • Ask in the demo about deployment fees and time to launch.
  • Ask who can change bonus amounts without support.
  • Confirm the exact list of ATS the tool connects to.
Rules and data

Referral programs and rules: what to write down first

Two things need settling before launch, whatever the tool: written program rules and the referred candidate's data.

Written rules

Write a short policy: who can refer, for which roles, how much, and when the bonus is paid. Without one, bonuses look arbitrary and disputes follow. Say clearly that hiring decisions stay with the recruiter, so referrers do not fear blame for a bad hire.

The candidate did not sign up

The employee hands you someone else's details. Under GDPR, which applies to any EU candidate, that is indirect collection: the candidate must be told they are in your system, by whom and why. Pick a tool that sends that notice automatically.

Diversity

Referrals tend to bring in people who look like your current team. Track where referred hires come from compared with other channels, and keep referrals as one source among several, not the main one.
  • Publish a written referral policy.
  • Make sure the tool notifies referred candidates.
  • Set automatic deletion of old candidate files.
  • Compare referred hires with other channels once a quarter.
Field tips

Six habits that keep a program alive

What recruiters running referral programs keep saying: the tool matters less than how you run it.

01

Email open roles every month

Promotion

The top complaint from recruiters: a program nobody knows exists. A posted bonus is not enough; you have to put the roles in front of people. A monthly email or a chat notification does more than a large forgotten bonus.

Rhythm
Once a month
02

Ask your new hires

Promotion

A new employee knows people still looking: former colleagues, classmates. Recruiters who make referrals work ask them directly during onboarding. It is often the richest source you have.

When
During onboarding
03

Do not tie the whole bonus to a full year

Bonus

A bonus paid only after a year of tenure rarely gets paid, and employees stop caring. Split it: part at hire, part after the probation period. You are still protected against a quick exit.

Payout
Split at hire and after probation
04

Reward qualified intros too

Bonus

One recruiter saw usage pick up after adding small quarterly rewards for qualified introductions, not just hires. Odoo builds this in with points at every stage.

Example
Points per stage passed
05

Remove the fear of a bad referral

Adoption

Many employees hold back because they fear being tied to a bad hire. State in the policy that hiring decisions belong to the recruiter, and that referrers carry no blame.

Where
In the written policy
06

Plan for too many referrals

Hiring

The opposite happens too: a busy program can bury recruiters in weak profiles. Ask referrers for two lines on how they know the candidate, and reply to every referral, even with a no.

Every referrer gets an answer
FAQ · 8 questions

Employee referral software · FAQ

  • What is employee referral software?
It is a tool that lets employees recommend people for open roles and tracks each referral to the hire. It pushes jobs to staff, notifies referrers as the candidate moves forward, and triggers the bonus. Many ATS include it as a module, so check yours first.
  • Do I need dedicated referral software or is my ATS enough?
For most companies under a few hundred people, the ATS module is enough. Teamtailor includes referrals in its plan and Odoo offers them as an app. A dedicated platform pays off when you run a program across thousands of employees and want gamification and launch support.
  • How much does employee referral software cost?
Most vendors only quote after a demo. Odoo is the exception, at $31.10 per user per month on Standard for the first year. A module inside an ATS you already pay for costs nothing extra, which is why it is the first thing to check.
  • How much should a referral bonus be?
There is no standard; recruiters report anything from a couple of thousand dollars to ten thousand for hard-to-fill roles. Scale the bonus with how hard the role is to fill, and remember that steady reminders matter more than size.
  • When should you pay a referral bonus?
Split it: part at hire, part after the probation period. Recruiters report that bonuses tied to a full year of tenure rarely get paid and stop motivating anyone. Write the timing into your policy.
  • Why do employee referral programs fail?
Mostly because nobody promotes them. Recruiters cite programs that are not advertised, bonuses that take too long, employees afraid of a bad referral, and too many weak referrals. A monthly email of open roles and a clear policy fix most of it.
  • Are referral bonuses taxable?
A bonus paid to an employee is generally treated as pay and runs through payroll. Rules depend on the country, so confirm the treatment with your payroll provider or accountant before announcing an amount.
  • Is employee referral software GDPR compliant?
It depends on the tool and on you. The referred candidate did not submit their own data, so for EU candidates you must inform them. Softgarden states German hosting; for others, ask where data is stored and whether the candidate notice is automatic.
