Kommo alternatives: where to go and how to switch without losing WhatsApp
Seven destinations, one for each reason to leave, plus an eight-step migration plan.
The short answer: Respond.io if your team sells and supports inside chat apps and you want a real shared inbox, Wati for the simplest WhatsApp setup for a small team, Pipedrive or HubSpot if you want a proper sales CRM with WhatsApp on the side, Zoho or Bitrix24 if per-seat pricing is the problem, and folk for B2B teams where WhatsApp isn't the main channel. Two things to know first. Kommo never refunds, so your real exit date is your renewal date. And your WhatsApp number can come with you, display name included. We compared all seven and went through their pricing pages in 2026.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.
Why teams leave Kommo, and why it hurts
Kommo (formerly amoCRM) is still one of the most complete CRMs for selling over WhatsApp and Instagram: a visual pipeline, chatbots, AI agents. People rarely leave because of the messaging. They leave because of how they're billed, how support treats them, and everything outside the inbox. Here are six reasons, all checked in 2026.
Six months up front, no refunds
There's no monthly billing. The shortest term is 6 months, then 9, 12 or 24. One Base seat means $150 paid at once, one Pro seat $270. Kommo's refund policy says all fees are non-refundable, and canceling only stops the renewal. On Trustpilot, one customer says they were charged $400 at renewal without asking for it.
A price hike for new customers and plan changes
In 2026 Kommo raised Base and Advanced by $10 per user per month for new customers, so the list now reads $25, $35 and $45. Existing customers keep their old price as long as they stay on the same plan, and get three months after expiry to renew at it. The catch: upgrading or downgrading moves you to the new price. Some countries are also moving to regional pricing on Base and Advanced.
Limits that scale per seat
Each user brings 2,500 leads on Base, 5,000 on Advanced and 10,000 on Pro, plus 750, 1,250 or 2,250 AI credits a month that don't roll over. Every user on an account has to be on the same plan. So if one rep needs Advanced, the whole team pays for Advanced. The per-seat lead cap is a recurring complaint in negative reviews.
Channels locked behind tiers
Base includes one WhatsApp number and one Instagram account, Advanced three of each, and you need Pro for unlimited WhatsApp numbers. After the pricing change, the numbers you had connected became your account limit on Base and Advanced. AI agents follow the same ladder: none on Base, up to 3 on Advanced, up to 50 on Pro. And the AI agent only answers incoming messages. It never starts a conversation.
Support that drives people away
Kommo sits at 2.7 out of 5 on Trustpilot across 65 reviews, and 53% of them are one star. The complaints rhyme: slow refunds with no timeline, tickets closed within 15 minutes if you don't reply, WhatsApp messages that don't sync. Ratings are kinder on Capterra (4.3 out of 5) and G2 (4.1 out of 5), mostly for the messaging itself.
An average CRM outside the inbox
Step away from WhatsApp and the complaints change: basic reporting, limited customization for long sales cycles, thin API documentation, and integrations that sometimes cost more than the CRM. The iPhone app is rated 4.0 out of 5 on 13 ratings, with crash reports, no iPad version, and one user saying the Meta Conversions API simply stopped sending events.
You're leaving because… go to…
The right Kommo alternative depends on what's pushing you out. Usually only one row applies. Each card jumps to the full write-up below.

Kommo alternatives, tool by tool
For each tool: why switch to it, who it's for, its catch, how to move over from Kommo, and what it costs. Prices are what vendors list in 2026. Watch the billing unit, because it's the trap in every comparison: Kommo bills per seat, Respond.io per plan plus monthly active contacts, Bitrix24 per company, and Meta charges for WhatsApp messages on top everywhere.
The tools
Respond.io: stay chat-first, skip the lock-in
Closest to KommoWhy switch. It's the tool that feels most like what you're leaving: a shared inbox where the whole team handles WhatsApp conversations and hands them off. The difference is the bill. You can pay monthly ($99 for Starter) or $79 a month billed yearly, and that covers 5 users. Five Kommo Base seats run $125 a month, prepaid for six months.
Who it's for. Sales and support teams who live in chat all day and want the freedom to leave without eating half a year of fees.
Who it's not for. Teams that need deep forecasting and pipeline reporting. Respond.io is a conversation tool first.
The catch. Pricing also tracks monthly active contacts, starting at 1,000. Past your allowance, every extra 100 contacts costs $12 to $15 depending on the plan, and each extra user $12 to $24. Starter is an inbox, so for AI agents and workflows (automated rules that route and reply) you'll want Growth at $159 a month billed yearly.
How to migrate. Respond.io documents moving a WhatsApp Business number from another provider: switch off two-step verification, confirm with the code you receive, enter the number in international E.164 format (like +14155550123), and only cancel the old provider once the switch is done. The 7-day trial needs no card, so move the number only when your team is ready.

Pipedrive: a real pipeline, WhatsApp on the side
Best pipelineWhy switch. If you're leaving because everything outside the inbox feels thin, Pipedrive is the mirror image: a CRM built to move deals through clear stages. Native WhatsApp exists, in beta, starting on the Growth plan. WhatsApp stays, but it becomes one channel among several.
Who it's for. B2B sales teams with multi-week cycles, meetings and quotes, who use WhatsApp to follow up rather than to sell end to end.
Who it's not for. A support team handling hundreds of chats a day. Pipedrive has no shared inbox on par with Kommo or Respond.io.
The catch. Native WhatsApp is in beta and needs admin rights to turn on. On lower plans you go through a connector like Twilio or TimelinesAI, which work on every plan. Paid add-ons and usage caps push the bill up too, as our Pipedrive review explains.
How to migrate. Export Kommo leads to CSV (500 per file), merge the files in a spreadsheet, and bring them in as deals mapped to your pipeline stages. Load people and organizations before deals so each deal links to the right contact. Rebuild your Kommo stages first, with the same names.

HubSpot: everything in one place, if the budget follows
Most completeWhy switch. HubSpot puts CRM, marketing, sales and service in one database. If you've been stitching Kommo to separate email and helpdesk tools, HubSpot replaces them. The core CRM is free for 2 users, and Starter seats list at $20 a month.
Who it's for. Small and midsize companies that want one system to attract, sell and support, and can grow the budget with it.
Who it's not for. A small team that mainly wants cheap WhatsApp replies. WhatsApp isn't in the free CRM; it comes with higher Service Hub tiers.
The catch. Going from Starter to Professional is a different price league: our HubSpot review puts Marketing Pro at $800 a month plus a $3,000 onboarding fee. Price your WhatsApp setup before you sign, not after.
How to migrate. Prepare one file for contacts, one for companies and one for deals. Keep the Kommo ID of every lead in a column: it's how you'll reconnect contacts and deals when names aren't unique. Start on the free CRM to check the import, and only pay once the data is clean.

Wati: WhatsApp first, for a small team
Simplest for WhatsAppWhy switch. If you used Kommo for WhatsApp and never touched the pipeline, Wati does the job with less setup, built around a shared WhatsApp inbox. Growth costs $59 a month billed yearly and covers 3 users. Three Kommo Base seats cost $75 a month, six months at a time.
Who it's for. Shops and small teams that sell or answer on WhatsApp and want to be live fast.
Who it's not for. Sales teams tracking deals over weeks. Wati isn't a full CRM, and its HubSpot integration is locked to Pro.
The catch. Growth caps you at 3 users. Pro is $119 a month for 5 users, then $39 per extra user. An extra number is $29 a month, and Meta fees come on top. No cancellation fee, but no refunds either, so the same rule applies as with Kommo: turn off renewal in time. More in our Wati review.
How to migrate. Wati runs on the WhatsApp Business API, so you move your number from Kommo with its approved templates. Prepare your contacts with their attributes (stage, source) as columns so your segments come back. Rebuild your Kommo Salesbots by hand, starting with the welcome message.

Zoho CRM: the cheapest serious CRM for a small team
Free up to 3 usersWhy switch. Zoho CRM is free for up to 3 users, then $14 per user per month billed yearly. You escape the six-month prepay and keep a full CRM with pipelines, automation and reports. If you want something lighter, Bigin, Zoho's small-team CRM, offers a WhatsApp Business integration.
Who it's for. Small teams that want a real CRM without paying top dollar per seat, and anyone already on other Zoho apps.
Who it's not for. Teams that need Kommo's multichannel inbox on day one. At Zoho, messaging is an add-on, not the core.
The catch. Zia, Zoho's AI, is Enterprise-only, and advanced support is paid. Our Zoho CRM review breaks down the plans and API limits.
How to migrate. Prepare your lead, contact and company files and map fields to Zoho's. Run one 500-lead file first (the size of a Kommo export), check the fields, then load the rest.

Bitrix24: one price per company, not per seat
For large teamsWhy switch. It's the bluntest answer to Kommo's per-seat model. Bitrix24 bills per company: Basic is $49 a month billed yearly for 5 users, Standard $99 for 50 users, Professional $199 for 100 users. With 20 reps, the gap with Kommo gets huge. Standard includes the WhatsApp integration.
Who it's for. Teams of 10 or more that also want tasks, projects and internal chat in one tool.
Who it's not for. A team of two or three looking for something simple. Bitrix24 is huge, and it takes time to learn.
The catch. WhatsApp only arrives with Standard, so Basic won't replace Kommo. The free plan (5 GB, basic CRM) is for exploring, not for selling day to day. Monthly billing costs noticeably more: $144 instead of $99 for Standard.
How to migrate. Rebuild your pipeline and custom fields first, then import. For WhatsApp, connect the number once Standard is active, and plan the number transfer from Kommo as described in the migration plan below.

folk: a light CRM for B2B
For B2BWhy switch. Plenty of B2B teams picked Kommo for its visual pipeline and then realized they barely used WhatsApp. folk is a light CRM built around contacts and follow-ups, without Kommo's messaging layer. Standard costs $24 per user per month, with no six-month commitment.
Who it's for. Founders, agencies and small sales teams who work mostly over email and LinkedIn.
Who it's not for. Teams where WhatsApp is the main channel. You'd need a messaging tool on top.
The catch. Automated email sequences and API access sit on Premium at $48 per user per month. For a team of five, that's $2,880 a year. Our folk review shows what each plan unlocks.
How to migrate. Export Kommo contacts to CSV rather than vCard, so custom fields stay as columns. Group contacts by sales stage before you import to rebuild your groups in one pass.

Seven alternatives side by side
Our default picks: Respond.io if messaging is the job, Pipedrive if selling is. For a quick sense of scale, take a five-person team on WhatsApp. Kommo Base costs $125 a month, which means $750 prepaid for six months, and Advanced $175 a month. Respond.io Starter covers all five for $79 a month billed yearly, Wati Pro for $119, and Bitrix24 Basic for $49 (without WhatsApp). Add Meta's per-message fees in every case.
| Free plan or trial | Entry price and migration | |

Leave Kommo in eight steps
Order matters. Each step protects something: your money, your data, your WhatsApp number, your open conversations.
The steps
Find your renewal date and turn off auto-renew
FirstKommo doesn't refund, and canceling takes effect at the end of the cycle. Your real deadline is the end of your 6, 9, 12 or 24-month term. Write it down, turn off renewal today, and plan the whole migration to land before it.
Still on the fence? Existing customers who let a subscription lapse have three months to renew at their old price. After that, it's the new price list.
- Risk if rushed
- another term paid for nothing
List everything that's running
Day 1Write down your pipelines and stages, custom fields, Salesbots, AI agents, approved WhatsApp templates, connected channels (WhatsApp numbers, Instagram accounts) and integrations (site forms, Meta ads, payment tools). One screenshot per Salesbot is enough.
Anything you don't list stays behind. Bots and AI agents don't export.
- Time
- an hour to half a day
Export leads, contacts and tasks
Day 1For leads: Pipelines, the three-dot menu, Export, then Excel, CSV or Google Sheets, all or filtered. Kommo splits the export into files of 500 leads, so 4,000 leads means 8 files. Contacts and companies export to Excel, CSV, Google Sheets or vCard, and tasks to iCal, Outlook or Google Calendar.
Exports respect user permissions. Run them from an admin account or some records will be missing.
- Gotcha
- 500 leads per file
Save the conversations that matter
Day 2Kommo's help docs don't describe a chat export. Pick the conversations that carry weight (accepted quotes, agreed prices, open complaints) and save them by hand as screenshots, notes or PDFs. Add a "last exchange" column to your lead file so reps can pick up the thread in the new tool.
- Priority
- open deals and disputes
Rebuild the structure in the new tool
Day 2Before importing, recreate your pipeline stages with the same names, your custom fields and your users. Merge your 500-lead files into one sheet, remove duplicates and keep the Kommo ID in its own column. Import in this order: companies, contacts, then leads or deals.
- Tip
- keep the Kommo ID
Move the WhatsApp number
Switch dayTurn off two-step verification on the number in WhatsApp Business, then start the transfer at your new provider: confirm the code by SMS or call and enter the number in international format. The display name, quality rating and approved templates come along. A number can only be live with one provider at a time, so the switch cuts Kommo off. Do it at a quiet hour.
If your number runs in Coexistence mode (WhatsApp Business app and API together), confirm your new provider can migrate it.
- Downtime
- the length of the switch
Rebuild bots and AI agents
Week 1Start with what new contacts hit first: the welcome message, qualification questions, routing to the right rep. Then rebuild follow-ups. Check each bot with a real test number before you turn it on for everyone. Don't forget click-to-WhatsApp ads: their conversion tracking has to point to the new tool.
- Order
- welcome, qualify, follow up
Move the team over and keep Kommo read-only
Week 2Put the whole team in the new tool, then compare counts: leads, contacts, open deals. Keep Kommo open until the end of the term you've already paid so you can look things up. You paid for that time anyway, so use it. If workflows run through Kommo (forms, spreadsheets, payment tools), keep them alive during the transition with our Kommo integration for Make, then point them at the new tool.
- Check
- record counts before and after

What makes a Kommo migration go wrong
The same mistakes show up in reviews and vendor guides. None of them are technical. They're oversights, and each one costs more than the time it would have taken to avoid it.
Missing the renewal date
Auto-renew starts a full new term with no refund. It's the most expensive complaint in Kommo reviews. Turn it off on day one of your exit project, even before you pick a destination.
Comparing prices in different units
Kommo bills per seat, Respond.io per plan plus active contacts, Bitrix24 per company, and Meta per message everywhere. Compare on your real numbers: users, contacts who message you each month, marketing messages sent. Our ranking of the best WhatsApp CRMs puts each option in context.
Exporting with the wrong permissions
An export run by a rep only contains what that rep can see. Run every export from an admin account, then compare row counts with the pipeline counters.
Blasting a campaign on switch day
After the transfer, template quality shows as "unknown" for about 24 hours. A big marketing send that day is a needless risk. Wait a day and lead with service messages.
Assuming the AI agent moves with you
Kommo's AI agents and Salesbots don't export. What moves is your knowledge: common questions, approved answers, routing rules. Write them down in a doc before you lose access. That doc saves more time than anything else in the new tool.
Unplugging ads without plugging them back in
Click-to-WhatsApp ads and conversion events sent to Meta often run through Kommo. Forget to reconnect them and you pay for clicks without knowing which ones convert. Check them on switch day and again a week later. For a wider view, our guide to the best CRMs for small business covers more options.
Kommo alternatives: common questions
Is Kommo the same as amoCRM?
Yes. amoCRM rebranded as Kommo in 2022, so reviews, tutorials and integrations listed under amoCRM describe the same product. Search both names when you troubleshoot: plenty of help threads and connectors were never renamed.
Can I cancel Kommo before the 6 months are up?
You can cancel any time, but you won't get money back. Kommo's terms say all fees paid are non-refundable, and canceling only stops the next renewal at the end of your billing cycle. Put your end date in your calendar and turn off renewal weeks ahead, not the night before.
Can I keep my WhatsApp number when I switch?
Yes, if the number runs on the WhatsApp Business API. It moves between providers with its display name and quality rating intact. A number can only be live with one provider at a time, so the switch cuts Kommo off. Turn off two-step verification on the number first, or the transfer stalls. Numbers running in Coexistence mode (app and API at once) can't be migrated by some providers, so ask before you start.
Do my approved WhatsApp templates survive the move?
Yes. Approved templates follow the number to the new provider. Their quality rating shows as "unknown" for roughly 24 hours, so hold your big marketing broadcast for a day and start with replies to customers who messaged you recently.
How do I export everything from Kommo?
Leads export from the pipeline view: the three-dot menu, then Export, to Excel, CSV or Google Sheets, capped at 500 records per file. Contacts and companies also export as vCard, and tasks go out to iCal, Outlook or Google Calendar. Kommo's help docs don't describe a chat export, so save the conversations that matter (quotes, agreed prices, open complaints) by hand before you lose access.
Is there a free WhatsApp CRM that replaces Kommo?
Not a full one. Bitrix24 has a free plan for a very small team, but its WhatsApp integration starts on Standard. Zoho CRM is free for up to 3 users, without Kommo's messaging automations. Our free CRM guide lists the real limits of each free plan.
What does WhatsApp cost on top of the CRM?
Meta's message fees are never included in a CRM subscription. Whether you use Kommo, Respond.io or Wati, every delivered template message is billed on top, based on the recipient's country and the category (marketing, utility, authentication). Marketing messages cost the most. Since fall 2026, service replies are free up to 1,000 per number per month, then billed at Meta's published service rate for each country.
Kommo or Pipedrive for a sales team?
Kommo if your deals close inside chat apps, Pipedrive if they close over calls, email and meetings. Pipedrive handles longer deal cycles and reporting better, and its native WhatsApp integration is still in beta. Our Pipedrive review covers its hidden usage caps.
