Service Fusion alternatives: which tool to pick, and how to leave without losing anything

Six tools in detail, the monthly bill for 3, 8 and 15 techs, and a seven-step exit plan.

Short answer: Jobber is the closest swap for a crew of up to 15, and its 10-user tier costs about the same as Service Fusion Starter. Housecall Pro has the easiest app for a small residential shop. Kickserv is the cheapest of the seat-based tools at every crew size we priced and keeps QuickBooks Desktop. ServiceM8 keeps unlimited users. Synchroteam gives you a two-way QuickBooks Online sync, and Tradify suits crews of 2 or 3. One thing to know first: Service Fusion's flat price gets harder to beat the bigger your crew. We compared these six tools and their official pricing in 2026. For the full market, see our field service software ranking.

The real reasons

Why contractors leave Service Fusion

Service Fusion gets real credit: unlimited users on every plan, no contract on monthly billing, personalized onboarding and QuickBooks included from the start. It holds a solid score on the big review sites. People leave for other reasons: a price grid that keeps moving, features sold as add-ons, and an app the techs don't love. Six reasons, checked in 2026.

Price hikes keep coming

This is the complaint you see most in public reviews. One customer describes going from $50 to $90, then to $225 a month, and leaving. Another talks about "the third price hike in as many years" with no new features. Today the official grid starts at $208 a month billed annually ($245 month to month) for Starter. A flat price protects you when you hire. It does nothing when the vendor reprices.

Starter leaves out more than you think

The entry plan covers customers, estimates, scheduling, invoicing and QuickBooks. Job photos, inventory, job costing, the customer portal, e-signatures and recurring invoicing are all paid add-ons on Starter. You need Pro, at $533 a month billed annually, to get the portal, e-sign and recurring invoicing included. GPS fleet tracking and ServiceCall.ai stay add-ons even on Pro, and their prices aren't published.

The QuickBooks sync only goes one way

QuickBooks Online and Desktop come with every plan, and that's a real plus. Reviews point to a limit, though: invoices and payments flow from Service Fusion into QuickBooks, not back. Users sum it up the same way: the sync only goes one way. Other reviews add that you can only map to one income account. If your bookkeeper fixes an invoice in QuickBooks, Service Fusion never hears about it.

The tech app does less than the office

Several reviewers say the mobile app falls short of the desktop version, and that many admin features work poorly there. Another says techs couldn't see their jobs on their phones. The pricing page doesn't mention an offline mode. If your crew works in basements, mechanical rooms or rural areas, check this in the demo on a real phone.

Support is hit or miss

Service Fusion promises unlimited email, phone and chat support on every plan, plus personalized onboarding. Feedback is split. Some customers rate tech support highly. Others describe a chat queue that can run for hours, and two reviews mention a refund that was promised, then refused. These complaints aren't numerous, but they show up year after year.

No trial, and yearly means paid upfront

There's no free trial on the pricing page, only a demo. Plans are month to month with no contract, which is good. But the 15% yearly discount is "charged as one annual payment at sign-up." Leave three months in and you've paid for nine you won't use. Jobber, Housecall Pro and Synchroteam all let your techs try the app for 14 days first.

The 6 alternatives

Service Fusion alternatives, tool by tool

For each tool: why switch to it, who it's for, its limit, how to bring over what you export from Service Fusion, and what it costs. Prices come from official pricing pages in 2026. Running an HVAC shop? Our HVAC software ranking goes deeper on that trade.

01

Jobber: the closest swap, with team tiers that rival a flat price

Best overall

Why switch to Jobber. It's the name that comes up first in almost every Service Fusion comparison, and its pricing has a surprise. Connect comes in tiers from 1 to 15 users (from $99 a month billed yearly for 1). For 10 users it costs $229 a month billed yearly, only $21 more than Service Fusion Starter ($37 more if the site shows you its lower grid). You also get a 14-day trial with no card, so your techs can try the app before you commit.

Who it's for. Residential service businesses from 1 to 15 people: plumbing, HVAC, cleaning, lawn care.

Who it's not for. Crews of 16 or more: the price grid stops at 15 users and points to Contact Sales, and the flat-price math tips back toward Service Fusion.

Its limit. The richer features sit on Grow ($299 for 10 users yearly) and Plus ($529 for 15). Every plan lets you add users at $29 a month each. At equal headcount, Jobber Plus lands close to Service Fusion Pro, a bit above it if the site shows you its lower grid.

How to migrate. Import customers and properties from the Service Fusion Customers and Service Locations reports, then your services. Keep job history as an archive; it doesn't need to live in the new tool.

Price. Core $29 a month billed yearly ($49 monthly) for 1 user; Connect $149 (5 users), $229 (10), $299 (15) billed yearly.

Housecall Pro: the easiest app for a small residential shop

Small shops

Why switch to Housecall Pro. If your techs were the ones complaining about the Service Fusion app, this is the tool to show them. Every plan includes online booking, scheduling, invoices and payments, quotes and review management. Essentials adds route planning, flat-rate pricing, photo reports, GPS tracking and the QuickBooks Online sync.

Who it's for. Residential shops of 1 to 8 people that want a simple app and good customer-facing tools.

Who it's not for. Shops that live on QuickBooks Desktop: the sync listed on the pricing page is QuickBooks Online.

Its limit. Prices jump with headcount. Basic is $59 a month billed yearly for 1 user, Essentials $149 for 5, Max $299 for 8, then $35 per extra user. At 15 techs that's $544 a month, more than double Service Fusion Starter. Recurring service plans sit on Max only.

How to migrate. Bring customers and addresses first. If you sell maintenance agreements, budget for Max from day one.

Price. Basic $59, Essentials $149, Max $299 a month billed yearly ($79, $189, $329 monthly). 14-day trial, no card.

Kickserv: the cheapest way to keep QuickBooks Desktop

Lowest cost

Why switch to Kickserv. On price alone, it's the one most likely to beat Service Fusion at every crew size here: at 20 users, Scale on monthly billing ($199) only beats Starter if you see the $208 grid, while its yearly price stays below both. Start covers 5 users for $60 a month, Run covers 10 for $119, Scale covers 20 for $199. QuickBooks Online is included, and Run adds a QuickBooks Desktop connection for $50 a month. You get a 30-day trial, the longest on this page.

Who it's for. Small and mid-size crews that want scheduling, estimates and invoicing at the lowest monthly bill, especially on QuickBooks Desktop.

Who it's not for. Shops that want polished customer-facing tools or a large app ecosystem: Jobber and Housecall Pro go further there.

Its limit. It's a lighter product than Jobber or Housecall Pro. The page shows monthly prices and a 20% discount if you pay yearly. Past 20 users, ask sales.

How to migrate. Since your invoices already sit in QuickBooks, move customers, locations and equipment only, then connect QuickBooks once the import is clean.

Price. Start $60 (5 users), Run $119 (10 users), Scale $199 (20 users) per month; QuickBooks Desktop add-on $50 a month.

ServiceM8: keep unlimited users, pay by the job

Unlimited users

Why switch to ServiceM8. If never counting seats was the reason you picked Service Fusion, ServiceM8 keeps that. Every paid plan has unlimited users. You pay for jobs per month instead: 50 for $29, 150 for $79, 500 for $149, 1,500 for $349. A large crew doing a steady number of jobs pays very little.

Who it's for. Shops with many techs and a predictable job count.

Who it's not for. High-volume service with lots of short calls: your bill follows the job count, not your headcount.

Its limit. Past 1,500 jobs a month, each extra job costs 20 cents. When you go over your plan, you get 7 days before you're asked to upgrade.

How to migrate. Before you pick a plan, count your monthly jobs in the Service Fusion Sales by Customer report. That number sets your price, not your crew size.

Price. Free for 1 user and 30 jobs a month; Starter $29, Growing $79, Premium $149, Premium Plus $349 a month. 14-day trial.

Synchroteam: a two-way QuickBooks Online sync

QuickBooks Online

Why switch to Synchroteam. It answers the most specific complaint about Service Fusion: its pricing page lists a two-way QuickBooks Online sync on every plan. You also get scheduling, a tech app, contract management and invoicing, plus a 14-day trial with no card.

Who it's for. Crews of 2 to 20 on QuickBooks Online that run recurring service agreements.

Who it's not for. Large crews chasing the lowest bill: it's priced per user.

Its limit. Standard is $39 per user a month billed yearly ($49 monthly). The first admin account is free with at least one paid mobile user. At 8 techs that's $312, well above Service Fusion Starter.

How to migrate. Your invoices are already in QuickBooks, so move customers, locations and equipment only, and connect QuickBooks on day one to avoid duplicate customers.

Price. Standard $39 (yearly) or $49 (monthly), Premium $64 or $79 per user a month, with route optimization.

Tradify: simple per-seat pricing for small crews

Small crews

Why switch to Tradify. If you're paying $208 a month for a crew of three, this is the cleanest drop. Lite is $47 per user, Pro $51 with recurring jobs, Plus $61 with service reminders. Three users on Pro cost $153 a month, with a 14-day trial covering every feature.

Who it's for. Trade crews of 2 or 3 that want quotes, jobs, invoices and timesheets without extras.

Who it's not for. Growing crews: per-seat pricing overtakes Service Fusion's flat price at five users, or four if the site shows you its lower grid.

Its limit. At 8 techs on Pro you pay $408 a month, and at 15, $765. Recurring jobs need Pro, service reminders need Plus.

How to migrate. Import customers and sites from your Service Fusion exports, then rebuild your price list and quote templates before your techs switch over.

The real cost

What each tool costs for 3, 8 and 15 techs

A plan price doesn't tell you what you'll pay. Here's the monthly bill for 3, 8 and 15 techs, worked out from each official pricing page, billed yearly where the vendor shows it. How to read it: at 3 techs, almost everything beats Service Fusion; at 15, only Kickserv and ServiceM8 (under 500 jobs a month) stay below Starter, and Kickserv only on yearly billing if the site shows you Service Fusion's lower grid.

SynchroteamStandard, yearly$117$312 / $585
TradifyPro$153$408 / $765

Monthly costs worked out from official pricing pages in 2026, before tax, add-ons and payment fees, subject to change. Service Fusion showed two grids on different visits; we list the one we read last (Starter $208), the other starts at $192. Kickserv's "Lowest cost" badge uses its monthly prices: yearly billing takes 20% off, and the QuickBooks Desktop add-on adds $50 a month.

Exit plan

Leave Service Fusion in seven steps

Order matters: save the data first, settle the money, then switch. If you're also weighing other big platforms, our guides to leaving ServiceTitan and leaving FieldEdge cover their exits.

01

Check how you pay

Day 1

Every Service Fusion plan is month to month with no contract. But if you took the yearly 15% discount, you paid the whole year at sign-up. Find your renewal date: it sets your timeline. Leaving mid-year means writing off the months left.

Ask support in writing which end-of-subscription terms apply to your account, and keep the reply.

Who

Risk if rushed

02

List the add-ons you pay for

Day 1

Write down everything billed on top of your plan: GPS fleet tracking, ServiceCall.ai, customer portal, e-sign, recurring invoicing. GPS runs on devices installed in your trucks, so plan to remove or return them.

Also list what lives outside the app: the booking link on your website, automatic customer texts, and any phone number handled through ServiceCall.ai.

Time

03

Export customers, locations and equipment

Week 1

In Service Fusion, go to Reports, then Custom Reports. Pick Customers, move every available column into the report and run it as Excel. Do the same for Service Locations and Equipment.

Don't edit the files before importing: vendor import guides ask for the original format.

Format

04

Export your job and invoice history

Week 1

Run Sales by Customer over the earliest date range allowed: it keeps your past jobs. Add Sales by Product/Service for invoice line items. If a report errors out, run it in one-year batches. If that still fails, open a ticket with Service Fusion support.

These files are your archive. You don't have to import all of them; store them in a dated folder.

05

Square things with QuickBooks

Week 2

Because the sync runs from Service Fusion into QuickBooks, your invoices and payments are already in your books. Have your bookkeeper confirm the last invoices made it over. If the new tool also syncs with QuickBooks, turn off Service Fusion's sync first, or you'll get duplicate customers.

Weeks 2 and 3

Rebuild estimate templates and service agreements before you move the whole crew.

Exit pitfalls

What makes a Service Fusion switch go wrong

The same mistakes show up in reviews from customers who left and in vendor import guides. None of them is technical. If you're torn between two of the tools above, our guides to leaving Jobber and leaving Housecall Pro show their weak spots too.

Comparing plan prices instead of monthly bills

Service Fusion is flat, most others charge per seat. The only number that matters is your monthly bill with your real headcount. At 3 techs almost anything is cheaper. At 15, only Kickserv and ServiceM8 can stay under Service Fusion Starter, and Kickserv's margin depends on which Service Fusion price you're shown. Run the table above before any demo.

Forgetting the add-ons and the prepaid year

GPS and ServiceCall.ai are billed on top, with no public price. Cancel the plan but not the add-ons and the charges can keep coming. Put everything in one cancellation message. Yearly is charged upfront at sign-up. Leave three months in and nine months stay on the table. Time the switch to your renewal date, or stay monthly while you test.

Exporting customers and forgetting equipment

The Customers report doesn't include the units installed at each address. Skip the Equipment report and you lose serial numbers, install dates and service history. For an HVAC shop, that's half the value of the file.

Running two QuickBooks syncs at once

If the old and new tools both write to QuickBooks in the same week, you'll create duplicate customers and sometimes duplicate invoices. Turn one off before turning the other on, and tell your bookkeeper the exact cutover day.

Picking a tool your techs never touched

Most Service Fusion complaints are about the mobile app. Don't repeat that: have two techs use the new app on their own phones, in a basement or mechanical room with no signal, before you sign.

What about Workiz, FieldPulse and ServiceTitan?

Other Service Fusion comparisons list them, and they're real options. We didn't rank Workiz or FieldPulse here because these six cover the same crew sizes with prices we could check on the official pages. ServiceTitan targets much larger contractors and quotes its price on request; our ServiceTitan exit guide covers it. If one of them is on your shortlist, put it through the same 3, 8 and 15-tech math before the demo.

FAQ · 8 questions

Service Fusion alternatives: common questions

  • How much does Service Fusion cost in 2026?

Starter is $208 a month billed yearly ($245 monthly), Plus $325 ($382) and Pro $533 ($627), with unlimited users on all three. The yearly price is 15% lower and charged as one payment at sign-up. Heads-up: on some visits the site showed a lower grid (Starter $192, Plus $298, Pro $489 billed yearly), so check the price on screen when you sign. GPS fleet tracking and ServiceCall.ai cost extra, and Service Fusion doesn't publish those prices.

  • Does Service Fusion have a free trial?

No. The pricing page offers a demo only. Jobber, Housecall Pro and Synchroteam give you 14 days without a card, ServiceM8 has a 14-day trial, and Kickserv gives you 30. That's enough time to put the app in your techs' hands.

  • Is Service Fusion cheaper than per-user software?

It depends on your headcount. Against Synchroteam at $39 per user, Starter ($208) wins from 6 techs and Plus ($325) from 9. Against Tradify Pro at $51, Starter wins from 5. If the site shows you its lower grid, those thresholds drop to 5, 8 and 4. But Jobber Connect covers 10 users for $229 and Kickserv covers 20 for $199 a month (less on yearly billing), so the flat price isn't automatically the cheapest.

  • Which alternative keeps unlimited users?

ServiceM8. Every paid plan includes unlimited users and the price follows your monthly jobs ($79 up to 150, $149 up to 500). Kickserv comes close with generous user tiers: 20 users on Scale for $199 a month.

  • Which Service Fusion alternative works with QuickBooks Desktop?

Kickserv sells a QuickBooks Desktop connection as a $50-a-month add-on on its Run plan. Housecall Pro and Synchroteam list QuickBooks Online on their pricing pages. If Desktop is a must, confirm the exact objects synced during the demo.

  • Will I lose my invoices when I leave Service Fusion?

Not if you use QuickBooks: Service Fusion pushes invoices and payments there, so your books keep the history. Still export Sales by Customer and Sales by Product/Service. They hold job-level detail QuickBooks doesn't have.

  • What's the best plumbing software for a small business?

For 1 to 5 people, Housecall Pro and Jobber are the usual picks, with Tradify if you'd rather pay per seat. Our plumbing software ranking compares more options, including tools built for bigger shops.

  • How long does it take to switch field service software?

The exit plan on this page fits in two to three weeks for a crew under 15: a week of exports and file cleanup, then the import and a one-week parallel run. The slowest part isn't technical. It's rebuilding estimate templates and service agreements.
